ABOUT THE TEAM
This post is located within UKHSA's Global Operations directorate, led by the Director of Global Operations. The Global Operations directorate supports the delivery of UKHSA's Global Health Strategy.

It provides a corporate service to UKHSA supporting the oversight, coordination and delivery of UKHSA's international activity and working with UK government departments and other UK partners to build and strengthen international public health links.

The directorate also maintains its own extensive portfolio of global health programmes and projects, focusing on capacity building and health system strengthening in partner countries.


JOB SUMMARY


The Travel and Deployments coordinator is responsible for ensuring the smooth-running of Global Operations Travel and Deployments team and systems, reporting to the Senior Travel and Deployments Manager.

The post holder will play a key role in developing and maintaining the policies and processes that governs UKHSA Global Travel and Deployment functions.

Occasional international travel may be required for this post.


Job description:


MAIN DUTIES AND RESPONSIBILITIES
The work will comprise an appropriate mix of the following activities (although not restricted to these)


1. Coordinate day-to-day management of UKHSA travel systems

  • Manage and maintain UKHSA's travel database, approval system and overseas response and support network (ORSN) database
  • Ensure timely and accurate reporting of UKHSA's travel and escalation of risks to Senior Travel and Deployments Manager and Head of Global Operations
  • Support Senior Travel and Deployments manager in UKHSA's response to international incidents/outbreaks, including cascading requests, coordinating activity, and investigating arrangements for rapid deployment, if not undertaken by the UK-PHRST
  • Work closely with partners to ensure legal compliance, best practice, and the complete discharge of UKHSA and oneHMG's duty of care to staff overseas
  • Ensure accurate and timely financial expenditure information is available of all UKHSA's business travel, ensuring value for money

2. Support programme management of any international work across the organization

  • Provide managerial support to all programme work streams within Global Operations and to others across UKHSA where required, including:
  • Travel governance and advice
  • Duty of care (including security and safety) governance and advice
  • Logistics arrangements
  • Support effective project management systems for the Travel and Deployments team, establishing and monitoring key milestones, interdependencies and risks

3. Support delivery of UKHSA's global work, in alignment with policies and operating frameworks

  • Support Senior Travel & Deployments Manager in development and maintenance of all international travel policies and Global Public Health Operating Framework
  • Ensure that service delivery is aligned to the Global Public Health Operating Framework
  • Support the development and management of relationships with internal and external partners
  • Lead on implementation of the relevant aspects of the Global Public Health Operating Framework and ensure these align across UKHSA

4. Support procurement and contract management of external providers

  • Support the procurement processes for new travel booking and insurance providers, ensuring they provide an acceptable level of practical service and represent good value for money
  • Input into contract management for of UKHSA's travel provider, including participation in regular contract manageme
