Data Entry Administrator: 22.5 hours a week


We are recruiting for a data entry administrator to work within the women and children's admin team focusing on the accurate and complete entry of maternity data onto a variety of trust systems.

This role will suit somebody with good attention to detail, that is able to work as part of a team and independently.


This role will support the wider administration team in participating in cover, including the booking of appointments and reception desk duties as required by the administration lead.

You may require work across both GRH and CGH as required.


This role will primarily focus around the accurate, timely, and reliable data entry of maternity information into a variety of trust systems including Infoflex and Trak Care.

The post holder will work closely with clinical colleagues to ensure accurate entry, being proactive in following up on missing information.


This role will also include:


  • Effective IT skills, particularly focused around data entry.
  • Ability to work in a team and independently
  • Ability to work under pressure and meet deadlines.
  • Identifying and correcting any data quality errors, working with the clinical teams for prompt resolutions.
  • Knowledge and understanding of confidentiality and data protection in accordance with Trust policy and procedures. Adhere to the standards set out in the Trust's Health Records Procedure
  • Effective communication skills across all disciplines of staff, patients and public
  • Knowledge of speciality terminology
  • Filling of documentation into patient notes
  • Tracing of patient notes in and out
  • Flexibility to support other areas as required or when work load allow, which may include:
Reception/ward clerk duties

Booking of appointments

Scanning of documents

Answering/making calls.

Skills in these areas would be desirable however full training will be given if required.

  • Accurate and complete data entry of maternity information onto Infoflex and Trak Care. Prioritising workload to meet deadlines.
  • Demonstrate excellent communication skills, responding to patient, staff and visitor requests appropriately
  • Analyse and deal with routine nonclinical problems, following Trust policy and using own initiative to ensure a seamless support service in the clinical area enabling staff to perform in their own roles effectively
  • Receive queries, both in person and on the telephone and manage appropriately Prioritise work, ensuring support for clinical staff is always available for the efficient delivery of patient care
  • Covering other women and children's administrators/areas as directed by the admin lead including reception, ward clerk or booking duties.
  • Filing of patient documentation generated by the ward, ensuring that notes are up to date and accurate when used by Clinicians.
  • Tracing all notes in and out, to ensure notes can be obtained from anywhere at any time in case of clinical need, maintaining data protection and confidentiality according to Trust protocol and procedure.
  • Provide ad hoc administration and support to the Ward Manager or Senior Midwife in Charg e, to enable efficient and safe delivery of clinical care, as appropriate to the Ward Clerk role.
  • Follow Trust Infection Prevention and Control Policies, within the scope of own role.
  • Adherence to the latest Trust Policy on Uniform and Dress Code Standards
