12 Month Fixed term/ Secondment Opportunity


The role includes the input of data onto the Oracle Learning Management system (OLM) for accurate recording of training information.

This includes creating and maintaining classes, setting competency requirements against positions and competency achievements against courses as directed by the Mandatory Training Lead.


To book staff onto courses, resolve e-learning queries, send out booking confirmations and reminders, send out joining instructions and dealing with cancellations when required.

To produce user guides, troubleshooting guides and to keep them updated as necessary.

Main duties of the job

  • The ability to work without direct supervision at times, using initiative where necessary but being able to recognise issues which require referral to Line Management
  • Maintain a customer focus in all aspects of work, whilst managing conflicting priorities and working flexibly as appropriate to workload
  • Able to manage repetitive process driven tasks
  • Experience of dealing with sensitive/confidential information
  • Able to produce accurately detailed information routinely
  • Booking staff onto correct training courses and troubleshooting any issues.
  • Produce registers and liaise with trainers of the course.

Education and Learning

  • Take responsibility for own learning and development by recognising and taking advantage of all opportunities to learn, including full participation in PDR appraisal, supervision, action learning.
  • Maintain up to date skills and knowledge, and maintain awareness of health and social care issues in relation to administrative duties
  • Actively participate in planned programmes of development.
  • Attend and complete all required Trust Mandatory training as per the Trust Mandatory Training Policy.
Principal Duties

  • To operate as a team player ensuring that knowledge and information are shared across teams to enable the ETD Team to develop and provide a comprehensive, effective and professional service.
  • To undertake a range of administrative duties including booking staff onto courses, send out booking confirmations and reminders, send out jointing instructions, dealing with course cancellations when required, inputting data into and maintaining the Oracle Learning Management (OLM) database
  • To maintain and update ESR, updating staff competency profiles, inputting new positions requirements, etc.
  • To create, maintain and update learner records on OLM
  • To prepare registers for courses
  • To set up courses within the Trust as required
  • To ensure all classes are closed on ESR in compliance with deadlines
  • To be a point of contact for line managers, staff, giving advice and answering a range of queries in an appropriate manner
  • To provide support and guidance to staff wishing to access ESR and ELearning.
  • To produce user guides and troubleshooting guides to assist ELearning users and to keep those up to date as necessary.
  • To identify and where possible to solve user problems, bringing to the attention of IT where more technical solutions are required.
  • To undertake regular data cleansing activities on OLM as required to ensure the system is accurate and operates effectively
  • To have an understanding of routine ESR reporting and to be able to produce basic reports such as DNA reports, booking reports, training statistics, etc from ESR
  • To carry out preparation, photocopying and distribution of course materials
  • To ensure that the current electronic filing system is kept up to date and make recommendations for potential improvements
  • To provide training delivery support including arranging venues and resources and greeting delegates when required, book rooms for training meeting
