Overview / Responsibilities:


Wood is currently recruiting a Compliance Coordinator to join our Ethics and Compliance function, reporting to the Senior Ethics and Compliance Assurance Manager.


The E&C function's programme covers five areas:
anti-bribery and anti-corruption, trade compliance, data privacy, compliance culture and anti-trust.

The Compliance Coordinator will work across all five areas, providing high quality administrative and programme support to the function and team.

This role can be based anywhere in the UK, we are happy to consider hybrid or remote working.


Key Responsibilities

General admin support:


  • Organise meetings (team meetings, training & comms meetings, Data Privacy Spotlight meetings, Business Ethics Forums, Responsible Officer 1:1s, Privacy sponsors meeting etc.) and provide associated support (minutes etc.)
  • Monitor, triage and manage relevant shared mailboxes (E&C, Sanctions, Data Privacy, Due Diligence).
  • Coordinate/support internal and external team reporting.
  • Manage suppliers, invoicing and payments.
  • Provide admin support to team (general admin, IT, expenses, travel, shared calendar, new starter support & inductions etc.)
  • Provide admin support to Chief Ethics & Compliance Officer (travel, timesheets, diary management etc.)
  • Other administrative and programme coordination support as required.

Case/inquiry management coordination:


  • Input inquiries into Navex monthly.
  • Prepare a case data download for monthly case review
  • Prepare and disseminate monthly P&O case report.
  • Prepare and disseminate monthly Digital Control Tower case report.
  • Support team with case administration and follow up as required (e.g., status checks, Navex inputting etc.)
  • Support team with the provision of management information as required.

Due Diligence programme support

  • Support Due Diligence Lead and Compliance Advisors with due diligence work as required (e.g., run DDIQs, admin support related to third party providers, invoice recharge support etc.)
  • Support the Commercial Intermediaries programme as required.

Sanctions programme support:


  • Maintain Sanctions approvals tracker.

Training & Communications programme support:


  • Support the delivery of the annual Code of Conduct training programme.
  • Coordinate training records and maintain record of all live learning attendees.
  • Manage Ethics Moments.
  • Add new starters to the E&C and Data Privacy Yammer pages.
  • Support the update and management of the E&C and Data Privacy intranet pages.
  • Support team with the provision of management information as required.

Data Privacy

  • Manage ICO renewals.
  • Support specific projects as required (e.g., coordination of signing of Data Sharing Agreements, support management of One Trust data privacy software).
  • Update processes and other documents as required.

Skills / Qualifications:

  • Previous experience in an administrative or comparable role.
  • Relevant qualification in business administration, paralegal or equivalent (desirable).
  • Experience supporting a team in a large organization preferably within a legal / compliance function.
  • Experience supporting improvement and/or change management programmes.
  • Experience working with external databases.

Skills

  • Experience using Power BI or similar data visualisation software.
  • Strong planning, organisation and prioritisation skills, maintaining a clear focus to achieve results.
  • Ability to work independently and with mínimal supervision.
  • Ability to manage multiple tasks and projects concurrently, balancing competing demands to deliver objectives.
  • Excellent attention to detail and high level of accuracy in work product.
  • Ability to work efficiently and create efficiencies in administrative processes.
