To ensure the smooth running of the building and office admin for the Centre. Maintaining the cosmetics of the building internally and externally, including any annex buildings.
Being first point of contact as our service users enter the building, providing administrative support and ensuring excellent customer service at all times.
Duties:
- Ensure the building and surrounding areas (car Park and annex building) are maintained at all times ensuring its welcoming and safe for all users of the centre
- Support the set up of rooms for Centre Users (equipment, room lay out etc)
- Responsible for identifying any improvements or maintenance requirements throughout the building and surrounding areas (e.g faulty lights requiring repair)
- Ensuring the appropriate contracting services (e.g Electrician) are engaged and seeking appropriate sign off from Board (via Business Development Manager) for approval of works
- Manage and review bookings on a weekly basis to ensure users for each day are known and keep abreast of any in day changes to bookings
- Support Business Development Manager with the smooth running of IT systems and Website by managing the shared mailbox, update social media/website and general enquiries
- Provide reception support for the centre and answer any general queries current users and potential users may have escalating where appropriate
- Provide administration support to the Business Development Manager to support the smooth running of the centre
- Ensure security of the building is maintained at all times and any master keys are locked away as part of the end of day procedure
- Responsible for maintaining safe and clean internal areas
- Maintain centre inventory for all testing and arrange any testing which is required eg PAT testing and annual boiler checks, liaisng with appropriate contractors
- Ensure all alarms are tested weekly and report any issues to Business Development Manager
Skills:
- Excellent customer service and people skills
- Work well within a team but also self motivated to be able to work on own initiative
- Be able to take instruction and work on tasks independently with little supervision at times
- Excellent verbal and written communication skills
