Description
This is a key role within the Centralised Outpatients Team.

High level IT skills, and a hard-working and organised approach will be required as well, as the ability to show initiative and work to agreed objectives without day-to-day supervision.

You will be required to keep excellent up to date records as well as manage complex requests and work to a high level with challenging deadlines.

The role will be varied challenging and rewarding.

A summary of the key tasks and responsibilities below:


  • Carry out and be accountable for the appropriate planning of the Outpatient Clinic Room schedule for all North Bristol Trust Centralised Outpatient Rooms belonging to Core Clinical Services.
  • Liaise with the Core Clinical Operational Support Manager & Nursing Management Team to ensure appropriate cover to run Outpatient activity across NBT.
  • Liaise with specialty managers to confirm schedules for Outpatient Clinics in advance of sessions and updating the clinic schedule templates and electronic systems to reflect confirmed activity.
  • Processing of outpatient clinic room booking requests for adhoc, new clinic sessions, and payback sessions in line with agreed protocols.
  • Bring data to clinical scheduling meeting for specialties as requested
  • Liaise closely with Outpatient Matron, Senior Sister and Support Manager in regards to booking and cancelling outpatient clinic rooms, as well as working to confirm Outpatient Clinic schedules, highlighting and working to resolve scheduling conflicts at the earliest opportunity.
  • Communicate effectively with Divisions regarding Outpatient clinic templates, maintaining an accurate record of specialty job plans (baselines) and Outpatient clinic room requirements.
  • Ability to organise and attend specialty scheduling meetings troubleshoot and problem solve accordingly.
  • Ability to communicate confidently with staff members of all levels
  • Chair scheduling meeting in absence of Support Manager
  • Work closely with Support Manager to ensure smooth running of clinic room allocation within all Centralised Outpatients areas of NBT
  • Attend any meetings related to clinic room scheduling and utilisation
  • Have an understanding of hospital PAS systems
  • Set up and maintain audit system relating to clinical room bookings and ensure that this information is reported to the Support Manager
  • Deputise for support manager regarding diary management for Clinical Matron and Senior Sister when required
  • Attend any meetings as requested by Support Manager and / or Clinical Matron / Senior Sister and be equipped to take minutes if required
  • Be proficient in using Microsoft Office packages and at minute taking
  • Order basic office supplies using the EROS ordering system
