The Role:

We're looking for an Office Assistant to be part of a sociable and busy team.

If you enjoy working with a range of different people, are organized, and enjoy a fast-paced, vibrant, and fun environment, this could be for you You will be responsible for maintaining a clean, tidy and safe environment for employees and guests, greeting visitors and giving people a great first impression of YouLend, as well as managing travel, helping with events and keeping the office fully stocked of essential items.

The role will be fully on-site and you will report into the Office Manager but you'll get to work closely with other areas of the business too.


Responsibilities:


  • Look after visitors by greeting, welcoming, directing them appropriately, and notifying the relevant colleagues.
  • Admin tasks such as post handling, arranging couriers, ordering gifts/incentives, ordering stock (including branded items), arranging photographers.
  • Arranging couriers, including to deliver equipment for new starters starting remotely.
  • Ensuring meeting rooms are adequately tidy and setting up meetings as required (ordering breakfast/lunches and making drinks)
  • Organise employee benefits (booking massage therapist, ordering birthday cakes, setting up lunch each day)
  • Organising flights and hotels for international travel, as well as booking restaurants and other trip requirements
  • Liaising with the building management team and Landlords to resolve issues in the office
  • Onboarding new starters, creating welcome packs and arranging intros with various teams
  • Restock kitchen each morning and afternoon
  • Responsible for Ocado weekly orders
  • Highlighting and resolving, if possible, any issues within the officetoOffice Manager
  • Assisting with projects (extensions, desk moves, health and safety inspections)
  • Arranging meetings with external suppliers and contractors
  • Keeping employees updated with companywide updates.
  • Responding to and keeping on top of the Office Management inbox

You have:


  • Excellent time management
  • Be able to prioritise your workload
  • Friendly and approachable (you will represent YouLend and be the first person external visitors see)
  • Organisation skills and very good attention to details
  • First aid and fire safety trained (ideal but not mandatory)
  • Ability to work under pressure and with changing requirements and priorities
  • Professional and positive communication skills in person, over the phone and in writing
  • Experience with microsoft office
