What you'll do


We are currently recruiting an Administrative Coordinator to provide direct support to senior leaders within our R&D Oncology function and will directly support our Chief Data Scientist.

This is an exciting opportunity for you to take on a challenging, proactive and varied role in a fast paced and exciting environment.


This role will include calendar management, coordinating internal and external meetings, arranging virtual meetings and videoconferences, managing travel, as well as organizing and preparing material for key meetings and communications.

You may be required to attend key team and project meetings; supporting preparation of meeting agendas and other relevant documentation, and taking minutes and tracking actions.


You will possess excellent verbal, written and interpersonal skills, good business awareness with sensitivity to confidential information, and a can-do attitude.

Role and Accountabilities:


  • Manage executive calendars to schedule meetings, conference calls, and special events; including exercising discretion as to priority and decision making responsibility.
  • Responsible for providing exceptional and broad administrative, coordination and project support.
  • As a member of the administrative support community, be responsible for providing backup support and other assistance to other administrative staff, including training, and for contributing actively to the ongoing development and implementation of shared practices.
  • Handle multilocation domestic and international travel arrangements, and time/expense reports with accuracy and efficiency, including followthrough to ensure that appropriate and timely actions are taken.
  • Produce accurate, properly formatted documents, PowerPoint projects, and reports under normally tight time constraints.
  • Organising department events & communications and helping to foster the culture of ODS
  • Partnering with the group executives and BPO to ensure the group is prepared in a timely fashion and well coordinated with regard to the business calendar (budget cycles etc)
  • Prepare team meeting agendas and record meeting minutes.
  • Prepare and edit correspondence and general communications for review.
  • Effectively manage special projects and other duties as assigned.

Essential for the role

  • High School diploma or equivalent is required
  • A minimum of 5 years demonstrated high level administrative support experience including experience of supporting senior leaders
  • Previous experience supporting complex projects
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Must have strong writing and communication skills, and the ability to interact confidently with executives and employees at all levels.
  • Able to prioritize time sensitive assignments
  • Must be able to communicate effectively, in person and in writing.
  • Flexible to adapt to ever changing needs and deadlines.
  • Must be able to effectively multitask in a fastpaced environment while maintaining confidentiality and discretion.
  • Willingness to travel for highpriority partnering events
