Job Title Receptionist/Admin Assistant
Reports to Practice Coordinator / NHS Administration Manager
Area of work St Michael's Clinic, Shrewsbury, Much Wenlock and Donnington
Key Accountabilities
- Provision of a professional, efficient, and effective Reception service to all patients and clients.
- Ensuring completion of all elements of the patient's pathway.
- Responsibility for invoicing and collection of selfpay patient monies at point of service.
- Liaising closely with the clinical team.
- Support all regulatory processes within the clinic.
Specific Accountabilities

Provision of a professional, efficient and effective Reception and Administration Service
- To ensure the reception area is manned during all clinic operational times
- To meet and greet all visitors and clients in a professional, polite and courteous manner
- To provide support and assistance to clinicians as requested
- Ensure all visitors and clients are directed and guided to the correct waiting area
- Maintain a professional and calm demeanour at all times promoting the best interest of the clinic
- Responsible for maintaining the highest standards of presentation of the reception and waiting area
- Responsible for maintaining the highest standards of personal presentation
- Ensure visitors where appropriate are offered and receive refreshments
- Responding and redirection of clinic correspondence in a professional, confident and timely manner.
- Multi skill as appropriate and as required providing support to other team members.
Ensure all elements of the patient pathway are completed
- Become familiar with the clinic computer systems (EMIS/GP Billing)
- Ensure clinic lists are available for appropriate clinics.
- Confirm patient details held by the clinic are correct and update accordingly.
- Ensure the patient medical forms are scanned into the computer system in a timely manner.
Patient Invoicing and Insurance Verification
- Confirm insurance details are correct.
- Obtain monies from all selfpay patients at point of service so as to minimise debt to the clinic.
Support all regulatory processes within the clinic
- To be aware of all regulatory processes and systems i.e. Fire procedure and sickness reporting
- To understand and comply with Health and Safety and Infection Control policies.
- Contribute to and participate with all regulatory action plans and audits.
- Be familiar with clinic alarm system and respond to any alarms or alerts following clinic procedure.
Personal Accountabilities
- Act as ambassador for the company promoting the best interests of St Michael's Clinic
- Work in accordance with Clinic policy and procedure
- To maintain the highest standards of confidentiality
- To support the Medical Secretaries, Practice Administrator and Finance Manager in all aspects of their jobs.
