About The Role:


This is an exciting opportunity for an organised and motivated individual to join our Administration team working within the outpatient department.


The Patient Administration Team, provide front line customer service to patients attending the hospital for routine Outpatient Appointments ensuring that all patients are dealt with in a professional and courteous manner, which endorses the patient centred approach of the team.

Assisting in the clerical function of the Unit. Work proactively to ensure that Outpatient clinics run smoothly and report any daily running issues to the Administration / OPD Manager

Working 30 hours a week, you will work 4 x 7.5 hour shifts between Monday - Saturday

What you'll be doing:

To provide a professional and patient focused administration supporting the clinical team within the unit

The successful applicant will be forward thinking, highly motivated and patient focussed, with demonstrable organisational and time management skills.

  • You will be responsible for answering telephone calls from patients and other hospital staff on all aspects relating to the coordination role. To distribute calls and messages.
  • Coordinating patient's pathway in the Outpatient department, liaising with nursing staff to give support in outcoming arrival of patients, updating patient's details whilst in the Out Patient Department.
  • Recording all outcomes of outpatient appointments.
  • You will monitor daily outpatient clinics and ensure all patient notes are prepared appropriately and delivered to the relevant departments and units in advance of the appointments, and to review these lists to ensure they are uptodate.
  • Ensuring all Outpatient clinic lists are collected daily, checked for missing notes, notes put into order and filed
  • Tracking clinic sheets making sure all the correct information is passed to Booking Team.

What we'll look for in you:

You will be experienced in dealing with the public, both in person and over the phone, with excellent communication and interpersonal skills as well as the ability to manage difficult situations in a calm manner.


Your previous experience of working in a administration role in a healthcare or service sector will be invaluable but just as important is your ability to work as part of a multidisciplinary team, work flexibly and prioritise your own workload when under pressure.


You will have:


  • Excellent communication and interpersonal skills
  • The ability to stay calm in difficult circumstances.
  • Comfortable working using your initiative, follow instructions and prioritise a busy workload
  • Strong communication skills (Written and Phone)
  • Substantial reception experience in Healthcare or service sector
