Grade 4, point £21,189 - £21,968 pro rata). Actual Salary £18,357 - £19,032


Hours: 37 hours per week, Term Time plus 1 week


Governors are seeking to appoint an enthusiastic Administrative Assistant to represent the school in a professional manner and provide excellent service to our internal and external customers.


The post holder is expected to be professional at all times and offer a welcoming voice and presence to visitors, students and staff.

All queries, no matter how small, must be responded to with a sense of urgency and respect.

Confidentiality must be maintained at all times and the post holder must ensure data protection and uphold a calm and positive disposition in recognition of the open office environment.


The postholder will often be the first point of contact for parents to the school and as such will be expected to demonstrate excellent communication skills, patience, professionalism, tact, integrity and competence.

Flexibility, enthusiasm and a commitment to the school community are vital.


Duties & Responsibilities:


  • To represent the school in a professional manner and provide excellent service to our internal and external customers.
  • To operate the Reprographics Department and ensure all machines are ready for the day including arranging maintenance.
  • Produce booklets, posters, laminated resources.
  • Perform scanning, archiving and shredding service.
  • Ensure budget levels are set for staff and departments and that staff codes are billed and maintained.
  • Produce monthly reprographics reports and bill departments appropriately.
  • Update the schools management information system through data input and with scanned documents.
  • To administer the schools cashless catering system such as adding new accounts, recording biometric data, updating free school meal eligibility, ensuring accounts remain in credit, sending balance reminders, refunds, liaising with third party support.
  • To administer the schools online payments system such as adding new items, ordering PayPoint cards, issuing account details, reporting, liaising with third party support.
  • To administer the schools electronic communications system such as adding new accounts, issuing account details, liaising with third party support.
  • Log and record data in systems such as Classcharts
  • Maintaining and updating manual and computerised records including, for example, records of free school meals, school trips including related data input.
  • To undertake Student Reception duties: Provide a point of contact for parents/students/staff, calling for First Aid, Hold lost property
  • Provide general clerical and administrative support, including word processing, minute taking, filing routine correspondence, distributing mail.
  • To assist with the administration of the schools uniform procedures such as ordering of stock and fittings.
  • Counting and sorting cash, on occasion.
  • General welfare support, where required, including liaison with staff and parents.
  • Contribute to the duty rotas at unstructured times as required
  • Undertake reception duties including answering telephone and responding to routine queries.
  • Assist with in school COVID testing, if and when required.

Additional Responsibilities:


  • Support school events, e.g. Induction Day, Open Evening, etc.
  • Attending appropriate training courses and take responsibility for personal professional development opportunities.
  • Maintaining good order in the office and Student Reception area.
  • Ensure that high standards of Health and Safety are maintained in the workplace.
  • Any other duties appropriate to the grade at the request of the Headteacher and SLT.
  • Assisting in the absence of any other associate staff as directed by the Headteacher or Line Manager.
  • To adhere to all school policies and procedures.
