Administrative Assistant (Finance Professional Services Income Team - Tuition Fees)- The post is full time 35 hours per week, open ended and available immediately


Salary:

£22,197 - £24,144 per annum (Grade 3)

Key Duties

  • Deal with a range of enquires from internal and external customers in a professional manner, establishing their requirements and adapting the standard responses accordingly
  • Collaborate with others in order to make recommendations for developments of established processes and procedures
  • Establish working relationships with key contacts to help improve service levels
  • Undertake a variety of administrative duties to support the team and department
  • Gather and analyse data to update administrative systems with accurate information, establishing basic trends and patterns in any data submitted
  • Contribute to the success of the team, leading others through example, and supporting the supervision and management of the team

Specific Duties

  • Referring debts to the University external debt collection agency (the Head of Income to be advised prior to any legal action being taken).
  • To produce invoices and chase debt for Channel Island students
  • To prepare financial guarantee letters for submission to Embassy's with tuition fee invoices.
  • Provide cover on necessary action in chasing EML debts.
  • To be responsible for liaising with students regarding the receipt of cash into the bank.
  • To prepare a weekly debt report for students in the D loop.
  • To monitor and chase former ATPs.
  • To be responsible for sending notification to student that a new tuition fee invoice has been generated.
  • To produce manual ELCAS invoices as required.
  • Provide cover for accurately calling all selffunding student tuition fee direct debits within the required timescales.
  • In conjunction with the other Administrative Assistant's (Tuition Fees) to cover the processing of Secure Trading payments.
  • Provide cover for Administrative Assistant (Tuition Fees) colleagues regarding the duties required under the Student Loan scheme.
  • To assist with the banking of any cheques received.
  • Answer telephone queries providing advice and assistance as required.
  • Ensure that all documentation regarding tuition fees is maintained and updated, liaising with Registry and the University Schools as necessary.
  • Provide customer facing support to students regarding general tuition fee enquiries.

General Duties

  • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties.
  • Abide by University policies on Health and Safety and Equality and Diversity.
  • As required to carry out any other duties to support Income Team colleagues.

Essential Criteria
Qualifications and Education

  • NVQ 2/GCSE level A-C or equivalent
Knowledge, Skills and Experience

  • Significant experience of working in an administrative or office environment
  • Proficient in using common office IT packages (e.g. MS Office)
  • Ability to set up standard administrative systems and procedures
Customer Service, Communication and Team Working

  • Ability to communicate effectively and professionally with a wide range of people
  • Ability to work as an effective team member, providing advice and guidance to other team members where necessary
  • Proven ability to deal with escalated requests for information or service, resolving customer issues where appropriate
Planning, Analysis and Problem Solving

  • Ability to plan, prioritise and organise own workload within established time scales
  • Ability to use initiative in solving problems and responding to queries ensuring compliance with standard procedures and practices
