We are looking for an experienced, enthusiastic

and flexible Receptionist/Administrator to work as part of our Sexual Health team.

There is a vacant post of 15hrs available on a part-time basis at

Southgate Health Centre, Stevenage


To provide a comprehensive and high quality reception and administrative support service to the Contraception and Sexual Health Service team within Hertfordshire Sexual Health Service.

The post holder will take responsibility for booking clinics, processing new referrals, updating waiting lists and communicating appointment related information to patients/carers and provide administration support to clinical staff.

  • To book appointments and manage cancellations or amendments in a timely manner.
  • To take initial responsibility for the local resolution of problems that may arise with staff/clients and to deal with complaints according to CLCH (Central London Community Health NHS Trust) policy and procedures.
  • To provide cover for other administrators/team members when necessary or as directed.
  • To work as a team member with other clerical staff, nurses and doctors and support the admin manager.
  • To undertakephotocopying, faxing, scanning and filing of confidential and non-confidential information.
  • To utilise relevant IT systems to enter and retrieve data ensuring all details are accurately input and recorded in a timely manner, ensuring that results etc are input into the correct patients EPR record.
  • To maintain health records as required and according to CLCH protocols.
  • Where appropriate, to work closely with relevant departments to ensure that notes are prepared and available and that necessary clinical information has been obtained in time for clinics.
  • To contribute to the collation and presentation of information for statistical reports and audits in a timely manner and create and maintain tables and spreadsheets to record and present information if required.
  • To take responsibility for archiving of paper files in line with service requirements.
  • To be responsible for the ordering, monitoring and maintenance of stationery and stock, including the pharmacy stock levels.
  • To disseminate information regarding the team's availability and schedule to relevant internal or external departments, managers, or organisations as required.
  • To use standard CLCH protocols and processes to obtain information relevant to the service from trusted and recognised sources.
  • To liaise with other relevant agencies/departments to locate and arrange transport of medical records/ folders to and from various sites in accordance with agreed CLCH protocols.
  • To organise interpreters and transport and notify users, where appropriate.
  • The post holder will work with little supervision, prioritising and managing his or her own workload on a day-to-day basis is vital.
  • To ensure the reception area is ready for the start of the clinic to welcome clients. To receive all clients and other visitors into the department in a professional, polite and friendly manner.
  • To carry out "Test and go" screening and condom distribution
  • To ensure the clinic environment is presentable and appropriate health promotion literature is available to clients
  • Ensure all rooms are equipped for clinic sessions and clinical boxes are well stocked.
  • To be flexible when asked to cover clinics across Hertfordshire as and when required by the service.
  • Follow security procedures for locking and security of clinic premises and safety of keys.
  • Alerting clinical staff to the needs of vulnerable clients to ensure they are safeguarded i.e. children, young people and adults.
  • To carry out any other admin duties as requested by the senior administrator and management team.
