    Key East, Balwyn North & Greyrthorn

    There is an opportunity for an experienced Parish Secretary to undertake administrative functions at the Affiliated Parishes for St Anne Kew East, St Bede Balwyn North and St Bridget Greythorn in a part time role reporting to the Parish Priest. The role of the Parish Secretary will be to build solid relationships and work collaboratively to the Parish Team, Volunteers, and Parish Schools.The successful applicant must be well motivated to work for the Church and ideally possess a strong commitment to its practices and values. He/she must be able to recognize and respect the pastoral aspect of the Parish and an understanding of liturgy/sacraments would be highly advantageous.This permanent part-time position is based at the Parish Office, Balwyn North. The role is required to work 16 hours per week (Days can be flexible), with a possibility of extra hours in the future. Terms and conditions are governed by the Archdiocese of Melbourne.
    Key Requirements

    • Strong PC skills, in particular Microsoft Office suite of products
    • Familiar with the Archdiocese platform PACEM would be advantage, however, training can be provided.
    • Initiative and a capacity to work with minimum of supervision
    • Maintain records in a tidy and readily accessible manner
    • Maintain confidentiality and security of all records
    • Experience in providing a range of secretarial and office management services
    • Ability to work to timeframes with attention to detail and priorities while handling regular interruptions
    • Good communication skills with ability to relate to a variety of people
    • Team oriented, including ability to work harmoniously with staff and volunteers

    Key Responsibilities

    • Provide secretarial and office support services to the Parish Priest, and the Parish community, including supervising Parish diary, answering the phone and staffing reception
    • Maintain all Parish Registries for Baptism, Marriage and deaths and respond to enquiries on these matters
    • Prepare the weekly bulletin for distribution each weekend, (which includes Liturgical responses).
    • Receive and process enquires for bookings of sacraments and memorial masses
    • Receive and process enquiries for property bookings, processing paperwork and payments.
    • Assist with the parish website updates.
    • Maintain orderly files and archives as appropriate
    • Alongside the Parish Priest and Safeguarding Committee, be involved in the administrative aspects of Safeguarding policy and procedure which includes (but not limited to) maintaining the WWCC register and Police Checks.
    • Assist with the training of volunteers in the office and coordination of weekly Mass/Church volunteers
