To be a success in this role you will need to be highly organised in planning your day, prioritising tasks and checking that everything is in place for the Installation Engineers to deliver to our customers and provide the best service possible.

The Role:


Reporting to the Process Analyst Manager you will have sole responsibility for the co-ordination and administration of sales & installations, while undertaking the supervision of a team of 2 in the Sales & Install team.

You will proactively contribute tothe efficient running of the team and maintain the continuous high standard of service we provide our customers


Accountabilities:


  • Book in new installation work from the sales team with customers; mix of residential, commercial and contractors.
  • Liaise between Sales, Install Technicians, Retail Department, Install Managers & Customers to ensure everyone is aware of any specific requirements on a job.
  • Monitor a live scheduler and communicate with the Install Technicians throughout the day to ensure jobs are happening within the quoted timeframe, look for alternative work if jobs finish early and reschedule work if jobs are overrunning.
  • Order signalling units and monitoring accounts for jobs and pass all special equipment orders to purchasing in a timely manner.
  • Prepare engineer paperwork for the upcoming jobs.
  • Update the installation workbook daily to ensure correct figure for forecasting and report jobs that have gone over or under quoted timescales to the Installation Managers when they arise.
  • Follow up on any incomplete work and additional requests on engineer close down reports.
  • Ensure all chargeable work for Installation Technicians is processed and the appropriate invoices generated.
  • Coordinate the workload of all Installation Technicians in conjunction with the Installation Managers. Ensure customers are contacted promptly and in sufficient time if a Technician is delayed or absent.
  • Coordinate the processing of job openings and closings to ensure targets are met. Ensure data changes are completed within 1 working day of receipt.
  • Ensure all actions / tasks related to installation are completed on CASH and followed up accordingly.
  • Send out post installation questionnaires and action any feedback.
  • Supervise and ensure the workloads for the Sales and Installation Admin team are equal and delegate where required to ensure there is no delay for customers.
  • Ensure the smooth transition of all sales order acceptances and ordering of kit required for new and existing work, ensuring contingency is also maintained when required and in periods of absence. Ensure all sales orders are processed within 48 hours.
  • Carry out all keyholder updates, ensuring all monitored accounts are updated on our MAS database daily.

Person specification:


  • Proven experience within a similar Scheduling or coordination role.
  • Supervisory experience preferred or desire to gain supervisory experience (training provided).
  • Ability to build strong relationships with engineers and customers.
  • Can be assertive when required and have the ability to plan and organise a busy workload within a high intensity, fast paced environment.
  • Confident in managing others, with the ability to work on own initiative and under pressure.
  • Able to work as part of a team with an open and honest approach.
  • Administration experience in timekeeping, scheduling and multitasking
  • Customer Service skills, with ability to react quickly to customer demands and resolve problems
  • High attention to detail and able to focus on an action and get tasks completed on time
  • CRM experience (we use Salesforce & CASH) training can be provided on our systems
