  • Excellent secretarial, organisational, and keyboard skills
  • Good knowledge of MS Office packages, particularly Excel and PowerPoint
  • Working to tight deadlines, and changing and challenging situations, whilst maintaining attention to detail
  • Experience with facetoface customer service
  • Have a polite telephone manner and are happy to help


Given the nature of the Care Group, you may on occasion be exposed to unpleasant working conditions such as verbal aggression, poor personal hygiene, as well as emotionally distressing situations.

We work with clients that have complex emotional and behavioural needs and you may be exposed to sensitive information regarding their past histories.


It is expected that you:


  • Provide Diary and meeting management for the Ward/ Ward Manager and Primary Consultant
  • Schedule meetings and carer's engagement requirements as and when requested.
  • Design and upkeep any and all reporting requirements
  • Design and create forms/ reports and agendas as and when required
  • Ensure the taking of accurate minutes of minutes that you are assigned.
  • Comply with Trust policies, processes, guidelines and expectations.
  • Mentor and support new and existing colleagues.
  • Demonstrate a professional approach to work.
  • Supervise the activities and development of the Admin Assistant assigned to you.
  • Be flexible and responsive to the completing demands.
  • Be proactive in the support given and required.

  • Responds to requests and provides information to external and internal queries from staff, service users and other departments including signposting to the appropriate service or individual.
  • Possible receptionist and/or switchboard operator, fielding calls and responding to presenting service users scheduled or unscheduled visits.
  • May participate in collation of feedback in relation to service user experience of our services.
  • May initiate communications with service users e.g. regarding appointment changes and/or to internal colleagues.
  • Inputting of information for report writing and updating of records and databases.
  • Formatting of spreadsheets using basic excel skills.
  • Use of general office equipment e.g. photocopier, fax, shredder, laminator, scanners, printers etc.
  • Distribution of information usually electronically.
  • Responsible for collection and distribution of post from/to reception for the ward.
  • Supports the Administrator in the organisation of activities including arranging meetings, room bookings etc.
  • Responsible for the health and safety of self and visitors.
  • The post holder will be using Micro Office skills in Word, Outlook, Powerpoint and Excel acquired through NVQ3/RSA3 or equivalent including inputting into spread sheets.
