Description
The post-holder will work in a team of reception/admin staff within the practice.

They will receive and assist patients and direct them to the appropriate service or healthcare professional in a courteous, efficient and effective way.

They will project a positive and friendly image to visitors, both in person and on the telephone.


In addition to general reception duties the post-holder, under the direction of the Practice Manager will undertake administrative duties as required.


Duties and Responsibilities for Reception and Administration
The post-holder will be able to work in reception and complete the following tasks:
Greet, receive and direct patients.

  • Give completed prescriptions to patients, checking the name and address.
  • Deal with general telephone enquiries.
  • Process appointment requests by patients, econsults, documents
  • Record messages for staff, including doctors and nurses.
  • Record the receipt and the results of laboratory reports.
  • Extract patient files for surgeries, house calls and routine enquiries.
  • File paperwork in the relevant patient file.
  • Register new patients.

  • Process a patient's change of address.
  • Retrieve patient notes, to be returned to the health authority.
  • Input patient information on computer, including under templates.
  • Be able to navigate correctly on Emis Web
  • Provide cover as and when necessary, for the reception/administration team.
  • Have a working knowledge of the telephone system, during and after hours.
Additional Tasks

The post-holder may be expected to:
Clear rooms after general practice.

  • Help maintain the security of the building. This may include carrying out premises checks, reporting any issues to the security department.
  • Perform systematic checks on toilet facilities, reporting faults and cleanliness problems to the appropriate department.
  • Attend meetings.
