The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally.

This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government.

DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of global, regional and bilateral interests.


About the Position


Reporting to the Business Operations Manager, this position is responsible for a range of facilities related tasks, including procurement and contract management and coordination of building maintenance.


The Facilities Officer is responsible for liaising with internal and external maintenance contractors, supervising outsourced property management contracts, administering utilities contracts and organising the purchase of duty-free goods.

The key responsibilities of this position include, but are not limited to:

  • Liaison with the property management company, other contractors and other stakeholders to ensure delivery of repairs, maintenance and refurbishments across the Australia House and official residence properties, providing regular monitoring and updating project schedules.
  • Undertake procurement and management of resulting supplier contracts related to delivery of property and facilities services.
  • In liaison with relevant Section Heads, procure and manage DFAT plant and equipment in London, including undertaking yearly stock takes.
  • Assist with the management of the outsourced cleaning and porter service contracts.
  • Under the direction of the Business Operations Manager, responsible for management of the facilities budgets, working closely with the designated Finance Business Partner to monitor budget variances and implement strategies to control expenditure and deliver cost effective, best value solutions.
  • Support the maintenance of ICT hardware including, desktops, laptops, printers, photocopiers, smartphones, tablet devices, intercom, CCTV connectivity at the High Commission and official residences.

Qualifications/Experience

  • Excellent client service skills including well developed communication and liaison skills.
  • Effective administrative skills, including the ability to undertake financial management tasks.
  • Demonstrated strong organisational skills and ability to manage priorities and handle multiple tasks.
  • Ability to contribute effectively as a member of a small team, including the ability to work with minimum supervision and maintain confidentiality.
  • Good judgment and problemsolving ability.
