Private Personal Assistant


The general work schedule is Monday to Friday, 9.30 am to 6.00pm or 10 am to 6:30pm, but this position requires flexibility and a 24/7 mentality.

You would be required to work some overtime ad hoc hours, some evenings to attend such events as parent's evening at school and children's birthday parties to offer support and to build a rapport with the family.


Job duties include but not limited to:

  • Maintain calendars for the Principal and the children to maximise productivity between work, school and life.
  • Hire and oversee household staff, including timesheet management, leave management and processing weekly wages and expenses.
  • Monitor personal expenses via trackers and conduct monthly reconciliation plus produce expense reports.
  • Identify and create processes and systems to monitor the children's education progress and liaise effectively with the school,
  • Coordinate business and personal travel; booking and managing itineraries and reservations.
  • Organise events such as children's birthday parties, holidays in the UK and abroad, family weekend activities etc.
  • Conduct and collate research on various projects, as well as manage some projects such as property searches and home renovations.
  • Create a house manual and identify and device systems and processes in order to streamline the seamless management of the Principal and his children's lives.
  • Liaise with healthcare professionals, children's schools, private tutors and extended family members.
  • Create and manage documents via google workspace (confidentiality and discretion is key especially when using shared drives).
  • Ad hoc administrative duties such as scanning documents, photocopying, taking minutes, creating presentations.
  • Run light errands and online shopping for the household when required.
  • Escort the children to appointments / events / activities when the Principal is unavailable.
The scope of responsibilities is broad, and will evolve as the family's needs change.


Qualities and experience:


  • Experience in Google Suite, Microsoft Office, Zoom and project management tools would be desirable but training can be offered.
  • Strong timemanagement and organisational skills, attention to detail, professionalism, and a team player.
  • A no task is too small mentality.
  • Demonstrable experience at being proactive and using your own initiative.
  • Ability to work with mínimal supervision; someone selfmotivated, child friendly, resourceful and discreet.
  • Previous experience as a personal assistant is desirable.

Salary - £29,500 (expected increase of between 10-15% upon completion of probationary period)
