Purpose of the Role


Through delivery of robust and reliable systems and processes, to support the Strategy Lead to deliver a world-class Service Partner Relationship function - that provides best in class insights and advice to help people to thrive through places and spaces.

Under the direction of the Strategy Lead, to align, connect and enhance Service Partner + systems and processes to meet objectives and priorities


Specifically:

  • To ensure the successful understanding of the systems and process requirements underpinning our agreed strategic priorities (and as directed by the Strategy Lead). Ensures that the technical systems and data requirements are explored, validated and understood from both a technical and a business perspective.
  • To work to agreed scope and requirements with the wider systems and process team members to translate the team's requirements into systems and process plans
  • Manages delivery against the technical plans and is a single point of contact for systems
- and process-enhancement related queries.


Key Responsibilities

Strategic alignment:

maintain close alignment with the Strategy Lead, developing systems and processes in line with our strategic priorities, expected benefits and business case.


Approach and methodology:
promotion of a standardised approach to systems and process development.

Ensures the appropriate disciplines and behaviours are adopted to deliver the consistent, robust and reliable data, systems and process change.

Builds requirements based on key principles as agreed with the Strategy Lead.

Requirements definition and scoping:

collaborate with Service Partner + colleagues and more widely to gather requirements, understand pain points, and identify opportunities for systems and process enhancements.

Facilitate workshops with core Service Partner+ team members and wider teams to deliver scope, functionality and requirements for systems and processes.

Attends relevant system and process 'design' forums as single point of contact for technical requirements. Works closely across all Service Partner+ teams to agree scope for delivery of the technical requirements/plans and any changes to these plans

Planning and delivery:

develop and execute comprehensive project plans for Service Partner+ systems and process improvements, including objectives, scope, deliverables, timelines, and resource requirements, working across the lifecycle of the delivery project (design and Implementation phases through to handover to BAU).

Take a holistic approach to ensure timely delivery and that key objectives are met, in line with the agreed plans (including continuous improvements).


Technology vendor relationships:

acts as a key interface with 3rd party technical vendors to ensure that all systems, data related priorities are understood and that systems and process plans are aligned.


Continuous improvement:
analyse existing systems and workflows to identify inefficiencies and areas for improvement. Design and propose solutions that integrate technological tools and process optimisation methodologies to address identified challenges. Stay current with industry trends, emerging technologies, and best practices related to functional systems and process improvement.

Communication and change management:

working with the Change and Communications specialist, ensure that all systems and process changes are understood and communicated to the business.

Provide training as required and support to end-users on new systems and best practices, and optimised processes.

Risk Management:
Identifies and addresses systems and process risks and ensures mitigations are in place.

Documentation:

Documents system and related process scope, key decisions and changes to ways of working and ensures these are shared with the wider Service Partner+ teams and business.


Systems and Process Performance Monitoring:
Provides weekly updates against status of systems and process priorities.

Create and monitor key performance indicators (KPIs) and metrics to monitor and evaluate the effectiveness of systems and process performance.

Generate system and process performance-related reports and insights to drive data-informed decision-making.


Cross-functional collaboration: collaborates closely with the reporting and analytics specialist; and effectively with a wider set of internal stakeholders, including Service Partner + colleagues and wider systems, data, finance and process teams to ensure seamless integration of new systems and process improvements with existing infrastructure.

  • Experience: At least 2 years of experience in a functional systems analysis, data management or process improvement role, preferably in a corporate or organisational
