Job Summary


To provide administrative support to the Sales Function, acting as an important link between the Sales Directors and the customer to ensure the sales process is completed efficiently and within customer's expected delivery times.

Working with 'on the road' Account Manager to process all admin.

Accountabilities

  • Raise standard quotations from the specifications supplied from internal and external sales team within the company expected timeframe, ensuring any missing information is fully updated (drawing number, prices etc);
  • Ensure all quotation details are logged as per department procedures and details issued to the Design Team to initiate an AutoCAD drawing;
  • Ensure quotations are authorised by all required parties prior to sending to the customer;
  • Send details of authorised quotation and AutoCAD drawing to the customer for approval and sign off;
  • Ensure that all records (electronic and manual) are kept fully up to date and accurate;
  • Ensure customer requests for alterations and modifications are dealt with quickly and passed to the relevant departments to verify and alter plans;
  • Raise variation of contracts promptly as required and pass to the Manager for internal authorisation once a secondary check has been made by fellow sales coordinators;
  • To seek Director approval for any late changes for variation of contracts.
  • Ensure revised contract has been signed by all required parties and distributed to the customer in a timely manner;
  • Raise works order number or serial number for each customer endorsed contract;
  • Issue specification, drawing and sales order to the Technical Team to produce a Bill of Materials;
  • Ensure all sales orders are scanned and logged as per department procedures;
  • Ensure each works order is raised on the company Access system to enable the Accounts Department to raise and issue an invoice to the customer;
  • Liaise with Production to obtain despatch information;
  • Raise a timely acknowledgement letter for each customer informing them of an estimated despatch date, assure letter is signed by appropriate signatory, scan and log and post to customer;
  • Ensure all documentation is completed as required to arrange collection and delivery of the Home to the customer;
  • Ensure all external sales staff are updated with Home despatch confirmation to enable an efficient handover;
  • Support the Sales Team with all administrative duties;
  • Complete the department statistics log and call sheets daily, logging all enquiries, quotations and sales received;
  • Ensure monthly statistics log is printed for the Manager's monthly meeting;
  • Maintain the company's expected level of service delivery at all times to internal and external customers and remain committed to customer service excellence;
  • Conduct business in an ethical and fair manner, protecting the Company's best interests at all times;
  • Attend training as required by the Company and take responsibility for own selfdevelopment;
  • Contribute to improving the performance of the team by putting forward new ideas and by implementing change when requested to do so;
  • Telephone chasing for both retail and trade business to secure orders;
  • Ensure cleanliness of spec room and kitchen area at all times;
  • Prepare customer refreshment, ensuring presented to a high standard;
  • Carry out any duties commensurate with the role and as deemed suitable by the Company.

Person Specification

Requirement Essential Desirable

Qualifications Maths and English to GCSE Grade C/4 or above or equivalent qualification.

Experience and
