Description
The head of administration's main tasks include organising the company's day-to-day operations as well as managing the office equipment, distribute incoming and outgoing mail, answer and redirect phone calls, maintain internal databases, booking meetings and arranging travel.
Job Responsibilities:
- Provide support to all departments
- Meeting and Greeting guests
- Manage meetings rooms
- Answering telephone calls and managing correspondence
- Taking payments over the phone (Stripe)
- Managing Excel spreadsheets
- Prepare and send parcels nationally/ internationally
- Send contracts to clients and follow their status (CRM, DocuSign)
- Hiring and training new administrative employees
- Evaluating the administrative department regularly and implementing improvements
- Performing inventory and ordering new office supplies
- Preparing and reviewing reports (Daily Summary)
- Manage schedules and deadlines
- Photocopy/Scan and print various documents, sometimes on behalf of other colleagues
- Organise and store paperwork, documents and computerbased information
- Send COAs, Invoices & Insurance Policy to clients when payment is done and contract is signed
- Liaise with staff in other departments and with external contracts
- Organise travel and accommodation for staff and other external contacts
- Update internal database (e.g. record sick or maternity leave, The Holiday Tracker)
- Prepare HR documents, like employment contracts
- Revise company policies
- Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
- Looking after the health, safety and welfare off all employees
- Monitoring staff performance and attendance
- Deal with grievances and implement disciplinary procedures
- Be first join of contact for all HR related queries
Salary:
From £30,000.00 per year
Ability to commute/relocate:
- City of London,
Greater London:
reliably commute or plan to relocate before starting work (required)
Education:
- GCSE or equivalent (preferred)
Experience:
- Customer service: 1 year (preferred)
- Administrative experience: 2 years (required)
Language:
- English (required)
- Spanish (preferred)
- Italian (preferred)
Licence/Certification:
- Driving Licence (preferred)
