Job Description:


The Team


The Governance, Performance and Improvement is a small team of individuals who have primary and secondary responsibilities to mitigate against single points of failure.

All members of the team will have the opportunity to work across all areas of responsibility, which offers individuals a breadth of experience and development.

The team is responsible for ensuring that GMG delivers its services effectively and efficiently within corporate, customer and regulatory requirements.


Job purpose:


The Governance & Risk Support Officer will report into the Senior Governance and Risk Manager (SGRM) with a dotted line reporting into the Assistant Director of GPI.

The role will be responsible for supporting all aspects of work in relation to the Governance and Risk Management Framework.

Working closely with the Senior Governance and Risk Manager the role will provide a high standard of secretariat support and administration.


Key Responsibilities:


Governance

  • Reviewing, proofreading, and collating papers for all the meetings that the role has been assigned ensuring the correct templates have been used and producing a final meeting pack for the meeting by the deadline.
  • Attending and taking accurate notes of the meetings they have been assigned.
  • Producing accurate and succinct minutes within 48 hours of the meeting ready to be approved by the relevant member of staff.
  • Accurate recording of actions and decisions including following up with action owners ahead of the next meeting to ensure they have been completed or an update provided on progress.
  • Responsible for maintaining and keeping up to date the Governance Toolkit and circulating as is appropriate.
  • Effective file management i.e., ensuring all documentation is organised and kept in the appropriate folders.
  • Work with the Director's Support Office to ensure the effective scheduling of all meetings ahead of time, avoiding any overlaps and pinch points for the team.
  • Provide admin support to the GPI governance meetings i.e., setting up the agenda, taking notes and actions within the meeting.

Risk Management

  • Working closely with SGRM to ensure all risk registers are reviewed on a regular basis and updates made in accordance with discussions with the risk owners.
  • Provide admin support on risk assessments and risk evaluations at a corporate level.

Secondary Responsibilities:


  • Provide ad hoc admin support based on capacity to the Senior CI and Project Manager, liaising with teams across GMG on the identification of process improvement opportunities, particularly in line with implementing best practice.
  • Provide ad hoc admin support to the Quality and Compliance Manager with internal audits.
  • Provide ad hoc admin support based on capacity to the Senior GPI Manager
  • Provide ad hoc admin support based on capacity to the Senior Information Governance Manager

  • Educated to degree level
  • Experience of taking accurate notes including actions and decisions
  • Experience of writing succinct minutes and papers to a high standard
  • Experience of proof reading and demonstrating strong attention to detail.
  • An understanding of academic and/or research activities in science
  • Microsoft Office, G Suite, and project management software
  • Experience of research funding (desirable)
  • Experience of translating policy into practice (desirable)
  • Process mapping (desirable)
  • Identifying and implementing improvement opportunities
  • Change management (desirable)
