Personal Assistant for Supply Chain Directors

12 month Fixed Term Contract

Location Flexible:
Edinburgh Park, London, Glasgow, Dublin

Closing: 24/02/2023

This role will provide proficient personal assistant support to the business leaders in our Supply Chain and Procurement business. It will be required to co-ordinate their activities and provide administrative support. This is a varied and challenging role which requires a high degree of flexibility, initiative and confidentiality.

Top Accountabilities

  • Effective diary management emphasis on anticipating needs and understanding priorities
  • Meeting coordination, preparation, efficiency and effectiveness including ability to set up and run virtual meetings
  • Travel, visa and accommodation management and coordination
  • Timely management of expenditure via Concur, ensuring a thorough filing and reference system is in place
  • Ensure all Purchase Orders, invoices and expenses are completed in a timely, accurate and compliant manner
  • Coordination of data & digital filing systems
  • Preparation of relevant business reports e.g. team budget
  • Managing routine oneoff and recurring tasks, including resolving issues and implementing comprehensive solutions
  • Management and organisation of internal and external events e.g. conferences, meetings, events
About you


To be successful in role you will have similar experience working in a high performing a PA or Team Assistant role.

Continually demonstrate high standards in terms of planning, quality and accuracy of work outputs to meet challenging timescales.

Utilise exceptional interpersonal skills to build and sustain excellent relationships across a diverse range of cross-functional networks.

Highly organised and self-motivated, with an ability to anticipate, effectively prioritise and progress workload.

Experience working with; SAP, Concur, Condecco, Coupa, Outlook & Microsoft Office & virtual meeting tools (e.g., Zoom).
