Summary about the Service
Community Children's Health Partnership (CCHP) provides child health services across Bristol,

North Somerset, and South Gloucestershire (BNSSG.) The Children's Continence service is provided by Sirona care & health CIC.


The Children's Continence service is a innovative, progressive service, delivered via a team of specialist nurses that provide specialist care, treatment, support and advice to children (and their families) with a need for specialist advice for bladder and bowel problems.


An enthusiastic, motivated person is required to join the Children's Continence service, to provide the administrative support required to maintain the excellent standards of the service.


The service id delivered in a variety of settings including family homes, children centres, health centre/clinics and other community facilities.

The role is based in a variety of localities across Bristol,

North Somerset and South Gloucestershire (BNSSG) all working alongside and under the supervision of the Specialist Nurses.


Job Purpose
To support the delivery of a responsive, proactive and effective administrative service to the

To act as an effective link across NHS staff, other departments, GPs, general public and other relevant bodies.

Key Responsibilities

  • Undertake office duties including, filing; photocopying; opening and distributing mail; sending out mail and managing electronic mailboxes. Sending typed reports/ letters and being the first point of contact for service users who call into the service.
  • Transferring patient records when required and archiving as required e.g., when patients move out of area using EMIS patient record system and use of Microsoft Power BI to provide data for reports etc.
  • To work flexibly in helping and supporting other Public Health Nursing Teams when required and at the discretion of the Admin Manager.
  • Data entry of information into the electronic patient record and other databases using EMIS and other systems.
  • Ensuring health promotion resources are available, maintained and updated.
  • Make appointments for service users.
  • Coordinate the booking of rooms.
  • Sensitively dealing with telephone enquiries from service users and reporting to the appropriate clinician.
  • Responsible for disseminating information as appropriate.
  • Respond to service user enquiries either written, face to face or via the telephone using empathy and judgement.
  • To understand and maintain a high standard of confidentiality adhering to organisational policies. This will include knowledge and appropriate holding / storage and disposal of confidential records and information according to current guidelines.
  • Carry out all daytoday office tasks in accordance with Standard Operating Procedures.
  • To use initiative, prioritise and organise own workload within guidelines.
  • To comply with organisational policies and procedures
  • Attend meetings as requested by Admin Manager or team
  • Maintain accurate records and input appropriate data as per organisational policies.
  • To assist with collating and forwarding information as requested by manager.
  • Contribute to the orientation/training programme of new colleagues including students as appropriate.
  • To ensure all mandatory and statutory training is maintained according to Sirona policies. To attend training in line with those policies, your personal development, and annual reviews.
  • Monitoring stationery stock levels and ensure these are maintained.

Skills, Experience and Knowledge Required

Essential:


  • Computer literacy including Microsoft Word, Outlook, Microsoft Teams, and Excel, ordering systems and data collection. Previous Administration experience dealing with telephone enquiries, correspondence, and office administration.
  • Excellent organisational and prioritisation skills.
  • Excellent administrative skills.
  • Experience and understanding of dealing with sensitive and confidential information.
  • Experience of team working.

Desirable:


  • Knowledge of patient administration systems, such as EMIS,
  • An understanding of Equality and Diversity policies.
  • Knowledge and awareness of Health & Safety.
  • An understanding of and compliance with the General Data Protection Regulations (GDPR)
2018.


Qualifications and Training Required

Essential:


  • Good standard of education at GCSE level (94/A-C) including English language and
Maths or equivalent.


Desirable:


  • NVQ 2/3 in Business Administration desirable.
