Are you an efficient Executive Assistant with experience working in a fast-paced environment?

An exciting opportunity to work in a prestigious school based in Hammersmith as an
Executive Assistant to the Executive Director on a permanent basis.

They are looking for an experienced
Executive Assistant with secretarial, administration and diary management proficiency.

Location

Hammersmith, Hybrid working is available


Salary
:
£40,000 per annum


Hours
:
Full-time, Monday-Friday, 8:30-17:00 (1 hour lunch break)


DBS Essential

Responsibilities:


  • Provide full support to the Executive Director
  • Manage diary for the Executive Director setting up meetings with internal and external stakeholders as directed
  • Provide administrative support to include written stewardship reports, proposals to potential donors and various letters
  • Oversee any UK or overseas travel arrangements for the Executive Director
  • Prepare guest lists and briefing sheets for campaign events
  • Organise invitations, handle replies and liaise with hosts about campaign events hosted by the Executive Director, or the Director of Development (this may require attendance at evening or weekend events for which you may take time off in lieu)
  • Help to collate data and finalise Foundation Office papers for Governors' meetings
  • Prepare biannual reports for donors
  • Provide ad hoc administrative support to other team members when needed
  • Manage stationery orders for the office
  • Undertake any other duties as may be reasonably required by the Executive Director
  • Proven track record of successfully supporting a senior manager
  • A proactive attitude and efficient approach to work
  • Proven ability to manage multiple tasks, people and deadlines
  • Good organisational skills with strong attention to detail and accuracy
  • Good numeracy and literacy skills
  • Good telephone and face to face manner
  • Excellent MS Outlook, Word, PowerPoint and Excel skills
  • Flexibility to work occasionally early or late (time off in lieu would be taken during the school holidays
  • Excellent English communication skills
  • Sense of humour
