As we continue to expand our portfolio of land and developments, we are seeking a highly organised and skilled Executive Assistant to join our team and provide essential support to the Managing Director and the leadership team.


Position Overview:


Key Responsibilities

Executive Support:


  • Manage and coordinate the Managing Director's calendar, schedule appointments, and travel arrangements (including flights and accommodation), ensuring optimal use of time and prioritisation of tasks.
  • Prepare and distribute meeting agendas, documents, reports and presentations, ensuring all necessary notes and materials are available and distributed in a timely manner.
  • Conduct research and compile data to support decisionmaking processes.

Administrative Support:


  • Draft, edit, and proofread documents such as reports, presentations, and communications.
  • Maintain organised filing systems for both electronic and physical documents and administrative tasks as needed.

Business Planning Coordination:


  • Assist in the preparation and execution of strategic business plans and initiatives including supporting the 5year plan and associated inputs.
  • Support the management with scheduling and reporting of regular weekly, monthly and quarterly meetings and activity including KPI reviews.
  • Budget planning coordination to compile and analyse financial information to create reports for future business planning reviews.

Finance Assistance:


  • Assist with financial tasks, maintaining accurate records, including expense tracking, budget monitoring, and invoice processing.
  • Collaborate with finance to ensure payments are made accurately and in a timely manner.
  • Prepare financial summaries and reports for the leadership team's review.

Project Coordination:


  • Assist in project coordination by liaising with internal team members, external partners, stakeholders, and project consultants.
  • Track project activity, timelines and deliverables, managing milestones and providing regular updates to the leadership team.
  • Assist in the coordination of events, conferences, and other special projects.

Team Collaboration:


  • Foster effective communication and collaboration within the leadership team and across departments.
  • Serve as a liaison between the Managing Director and other team members.

Qualifications

  • Proven experience in a similar role as an executive assistant, personal assistant, or finance assistant supporting management.
  • Degree in Business Administration, Finance, or a related field is preferred.
  • Strong financial acumen with experience in budgeting and financial reporting.
  • Exceptional organisational and timemanagement skills.
  • Excellent written and verbal communication skills, with a professional approachable demeanour.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to handle confidential information with discretion.
