Proclaim Group have an excellent opportunity for a Technical Team Assistant (Senior Administrator) to join our team.

About You:

We are looking for a senior administrator to join our office team in Hamilton.

This position would ideally suit an individual who has worked as a personal assistant, medical or legal secretary and has experience of handling confidential information.

Full training will be provided.


You will need to have excellent communication and interpersonal skills, be flexible, organised, able to work well under pressure and align with our company values.

The Role:


This exciting role will give you the opportunity to improve the lives of our service users by helping to arrange the treatment and services they required to recover from their injuries or health condition and, if possible, return to work.


In the role, you will work closely with our Rehabilitation Managers (registered health professionals) and Rehabilitation Co-Ordinator to coordinate rehabilitation programmes for our service users.


The aim of the Technical Team Assistant role is to support our Rehabilitation Managers with the proactive management of their cases by assisting them with day-to-day administrative and case management tasks.

Experience of MS Office is essential, and knowledge of databases is desirable.


Duties include:

  • Arranging appointments with service users and other parties on behalf of the Rehabilitation Manager.
  • Obtaining authority for recommendations made by the Rehabilitation Manager.
  • Assisting the Rehabilitation Manager or Rehabilitation Co-Ordinator to implement the service user's recommended rehabilitation programme

This might include:

  • Requesting and chasing reports, medical records and clinic letters from medical professionals
  • Researching, onboarding and making referrals to service providers e.g. physiotherapy
  • Assisting Rehabilitation Managers to arrange surgeries, scans or procedures for service users
  • Setting up taxi, gym, cleaning and gardening accounts
  • Ordering aids and equipment and assisting Rehabilitation Managers to arrange adaptations to service users' homes
  • Booking interpreters, courses, travel and hotel accommodation for service users
  • Reviewing and authorising service provider invoices
  • Supporting Rehabilitation Managers with case actions during holiday/sickness periods
  • Diary management to ensure followup in timely manner to bring tasks to completion
  • Liaising with service users, insurers, solicitors, service providers and employers on a regular basis.
  • Making and receiving calls and dealing with enquiries from injured clients and their family members, service providers, health professionals, lawyers and insurance companies
  • Assisting with booking new referrals onto our database and issuing the relevant paperwork to service users and Rehabilitation Managers.
