Job Purpose


The Facilities Officer is appointed by the site manager to co-ordinate, support and advise the site on all aspects with regards to Security, Health & Safety and Estates.


They will manage and monitor standards, processes, communications, training requirements, systems, planned preventative maintenance and compliance inspections to ensure all responsibilities associated with Security, Health & Safety and Estates within Vaultex are adhered to.


They will maintain line management of the control room team, but day to day tasks will be discharged to members of the control room team.

Main Responsibilities

Leadership

  • Ensure resources are appropriately and efficiently allocated to key areas of work and that priorities are always covered adequately.
  • Effectively manage & lead the team of Controllers, ensuring that duties are carried out efficiently & effectively.
  • Liaise with Site Manager to ensure that resources are in place so that security and business needs are met.
  • Performance and attendance issues are addressed at the correct time in accordance with standard Vaultex practice.
  • Recognise training needs under Security, Safety and Estates and ensure prompt completion.
  • Carry out annual and interim performance reviews within set timescales.
  • Manage & behave in accordance with 'Know your Responsibilities'
  • Develop positive relationships with all Vaultex staff.
  • Work to and ensure adherence to the Vaultex Values.
Security

  • All physical security of employees, on site visitors and premises is delivered in accordance with Vaultex policy & procedures.
  • Attend and proactively deal with any security or safety related incident. Coordinate appropriate action to resolve the incident.
  • Ensure that all incidents are recorded in the appropriate format. Write concise and accurate incident reports as necessary.
  • Ensure adherence to internal security procedures.
  • Ensure all systems are regularly maintained and tested.
  • Liaise with National Risk Manager, Health & Safety Manager and National Estates Manager and relevant Risk Managers on any issues, queries & site equipment failures.
  • Assist with and provide resource for any investigations as directed by the Site Manager, National Risk Manager and relevant Risk Managers.
  • Ensure effective liaison with the Vaultex Control Room.
Health & Safety

  • Implement and monitor Vaultex Health and Safety Policy & procedures.
  • Investigate and report on work place personal accidents and near misses; and maintain accurate record of all site incidents (incident statistics)
  • Ensure sites comply with current safety legislation.
  • Liaise with Vaultex Health & Safety Manager or relevant Risk Managers on any issues, and queries.
  • Ensure site compliance in all areas of Health & Safety; oversee day to day Health & Safety management.
  • Complete local site inspections and ensure accurate and timely completion of all relevant documentation.
  • Ensure that quarterly H&S committee meetings take place in the prescribed month and have appropriate representation.
  • Collate required library of site assurance documentation.
Estates

  • Ensure that PPMs and all scheduled works are carried out as per requirements.
  • Ensure that all reactive maintenance issues are escalated to the appropriate supplier and where appropriate to the Estates team.
  • Ensure that all potential additional works are logged & escalated to the Estates team for budget allocation and planning.
  • Support & manage site additional works as required and directed by the Estates team.
  • Ensure site compliance for Estates schedule, coordinate inspection, maintenance and testing visits.
  • Collate required library of all Estates compliance documents.
Miscellaneous

  • Act as the 'Go to' person for all site Security, Health &Safety and Estates matters.
  • Encourage a positive Health & Safety culture within their local site.
  • Be proactive in the management of Security, Health & Safety and Estates.
  • Ensure continuity of duties through delegation or management.
  • Ensure that sufficient Operational staff have undertaken Controller training.
