Executive Assistant to join our dynamic team.

This is a new, exciting, varied and demanding Senior role within the business, reporting primarily into the CEO. This crucial position oversees, coordinates & manages many aspects of the business and will be integral with the planning and implementation of the business's growth plans alongside helping maintain the smooth operation of the day to day

Responsibilities:


  • Support the CEO with the management of their calendar by liaising with external agencies and business partners to organise and book meetings as requested.
  • Prepare meeting agendas, perform research for meetings, and take minutes during meetings
  • Support any travel coordination including air and ground transportation, hotel reservations, security, visas, and other travel documentation.
  • Take phone calls for senior managers and colleagues when they are not available
  • Project manage both regular and adhoc events, liaising with the marketing and media functions
  • Maintain electronic filing system
  • Contribute to team meetings by assisting with the production of materials and prereads, taking notes, and tracking action items.
  • Provide general project support as needed including adhoc reporting.
  • Other duties as assigned in support of the business (ad hoc tasks).

Work Demands:


  • A requirement to manage several ongoing tasks at the same time, requires a flexible approach.
  • Planning personal workload and tasks.
  • Reports created and distributed as required to relevant attendees prior to meetings
  • Accountable or time management to setting own deadlines.

Essential skills

  • You will have experience of working in an executive administrative or management role, preferably for a CEO.
  • You will have a good knowledge of and be a competent user of IT and be able to use IT in a working environment to include Microsoft Office Suite
  • Outlook, Word, Excel and PowerPoint (or equivalent).
  • You will have a good level of education, with excellent numeracy and communication skills, both verbal and written and the ability to effectively communicate using a variety of formats.
  • You will have good organisational skills; with the ability to meet deadlines and deliver work to agreed standards.
  • You will be comfortable working in a variety of environments: you will mostly be working from the office but there will be some flexibility to work from home
  • You will have excellent levels of customer service with the ability to interact autonomously with internal and external partners.

Salary and benefits

  • Hours this is offered as a flexi, parttime role (initially 20 Hours per week, across a minimum of 4 weekdays per week).
  • Salary £25,000 pa. pro rata.
  • Holiday 20 days per year in Year 1 (prorata); 25 days per year from Year

  • Primarily working from office(Newport) but some flexibility possible over time

£24,000.00-£28,000.00 per year
