Cholderton Rare Breeds Farm and Bluestone Vineyards are well
- established, family-run businesses which have created a new bespoke venture, which goes by the name Vine View Barn
  • Weddings & Events, based in Salisbury, Wiltshire.
We do lots of events throughout the year, from child-focused Easter &

Christmas fun on the farm, to high-end weddings and other events, such as corporate parties, jazz evenings, murder mystery nights, festivals, charity events, public events, and private dining.

All our events are curated to the highest possible standard and the sky is the limit in terms of what we can do for our customers.

This is also matched with having a great team who are fun, creative and dynamic and who put our guests at ease and provide a friendly and professional service.

We are looking for a diligent, proactive, and enthusiastic individual to join the team as our new Wedding & Events Coordinator, who will oversee the entire events branch of the company.


Role Specifics

  • Being fully responsible for managing the relationship with the customer and being the point of contact for final details and arrangements
  • Building a rapport and working relationship with our customer to deliver an excellent standard of customer service and ensuring delivery of our customer service promise
  • Liaising with the team to communicate details of the event and then physically coordinate the event.
  • Identifying the customer's requirements to exceed expectations.
  • Meeting with the customers to discuss all requirements and operational details of the event and get feedback.
  • Enter all requirements into our Function Sheet, so that the operating areas are aware of what they need to deliver. This can include catering, accommodation, cleaning, waiting staff etc.
  • Attending and coordinating customer meetings as well as internal meetings.
  • Creating and controlling a log of all actions to be completed by the teams.
  • Costing the events to ensure a healthy and hefty profit is being made on each event.
  • To be part of the operational team setting up and during the event to ensure all areas are coordinated and the event runs to schedule.

Person Specification

Qualifications, Skills, and Experience

  • Relevant professional experience within the events & hospitality industry.
  • Previous experience of working in a similar professional environment.
  • Ability to demonstrate experience in providing excellent customer service.
  • Ability to manage complex administrative processes.
  • Previous experience working with databases and Microsoft Office programmes.
  • Experience of a marketing or communications environment.
  • Excellent attention to detail and a creative eye.
  • Excellent numeracy, spoken and written communication skills.
  • Proven ability to work as a member of a team and on own initiative.
  • Proven strong organisation and problemsolving skills.
  • Ability to work to deadlines and under pressure.
  • Working with the marketing team to create concepts and identify the objectives of each event.
  • Implementing budgets, sending invoices and quotes.
  • Managing promotions, communications, and branding aspects of the events.
  • Staffing & supervising event staff.
  • Getting feedback after the event.
  • Help drive business through increased sales to ensure that revenue relating to each of the operations are maximised at every opportunity.
  • Respond to all leads and clients to secure profitable business.
  • Maximise revenue and profitability by careful diary management and upselling.
  • Ensuring all potential sales leads are followed up and that all clients and potential clients always receive efficient service.
  • Ensuring that all information given out to our clients is accurate and relevant to promote the event.
  • Conduct informative effective show rounds with potential customers showcasing the facilities and building rapport.
  • Supporting the operational teams in the creation and implementation of onsite attendance driving events (these events will include but not exclusively, Holiday, weekend, and evening activities, which sit outside of the normal park activities, but which are used to drive general day and evening admission/tours).
  • Work closely with the Marketing team to support the promotion of these additional activities and to monitor visibility and reach.
  • Working to tight KPI's to both monitor costs per activity and drive attendance whilst being able to clearly report on the individual performance of each activity.
  • Generate necessary support documents for all events and meetings, administrative tasks including diary management, following up enquiries, dealing with contracts and event details schedules in addition to processing payments and charges.
  • Ensuring full and accurate records for each event are kept in line with company procedure.
  • Prepare invoices and estimates for clients and liaise with finance to ensure proper and accurate records are maintained.
