Operations Support Coordinator - Responsible to the Financial Controller

  • Location: Stanford Marsh Limited, Head Office, Worcester, WR4 9ND

Job purpose
To act as first point of contact for our company. Offer administrative support across the organization. Welcome guests and greet people who visit the business. Coordinate front-desk activities, including distributing correspondence and redirecting phone calls.


Responsibilities:


  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person or office
  • Answer, screen and forward incoming calls
  • Ensure reception, Post Room and Showroom areas are tidy and presentable with all necessary stationery and materials (e.g pens, forms and brochures)
  • Receive, sort and distribute daily mail/courier deliveries and handle the distribution of all outgoing mail.
  • Maintain office security by following safety procedures and controlling access via the reception desk (Monitor logbook, issue visitor badges etc.)
  • Update meeting room calendars and schedule meetings.
  • Assist HR with clerical duties to include but not limited to, filing and Assistance with Fleet Management.
  • Assist the Purchase Ledger team with Purchase Order Invoice processing.
  • Perform other clerical receptionist duties such as filing, photocopying etc.
  • Provide and keep stock of refreshments for any meetings and ensuring that the kitchen is always presentable.
  • Responsibility for ordering Staff uniform and keeping a clear record.
  • Update spreadsheets of business items (e.g. Uniforms)

Personal Qualities:


  • Proficiency in Microsoft Office Suite
  • Handson experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and timemanagement skills, with the ability to prioritize tasks
  • Excellent customer service attitude

Working hours
Monday to Thursday 8.45 am to 5:15 pm
Friday 8.45 am to 5 pm

[Lunch allowance = 1 hour each day]


Holiday entitlement
20 days plus Bank Holidays pro-rata.
