Administrative Assistant


Contract:
Fixed term, part-time


Contract duration:20 weeks

As soon as possible, ideally 20th February 2023, but open to negotiation


End:7th July 2023 (scope to extend further)


Hours:20 hr/wk

£10.50 per hour

Overview

Your role


This is a varied role that would suit someone who likes being busy, is able to juggle different priorities and is highly organised.

While some relevant experience is beneficial, we are more interested in the skills, abilities, and attitudes you will bring to the position.

You need to enjoy communicating on the phone and with people from different backgrounds. This is a rewarding role in which you can make a real difference to people's lives.


Main responsibilities/tasks

  • Interact with members and volunteers both over the phone and face to face
  • Support with onboarding volunteers. For example, sending information, organising Disclosure and Barring Service checks, and sending elinks to volunteers for training and monitoring and evaluation purposes
  • Maintain Marmalade Trust's customer relationship management (CRM) database
  • Assist with the organisation and delivery of a range of meetings and events, and, where needed, take meeting notes
  • Provide basic financial support such as cashing cheques and invoicing
  • Office management tasks such as ordering supplies
  • Support with social media posts
  • Provide direct assistance and support to the
    CEO and Volunteer Coordinator
  • Support with updating office policies and ensuring compliance to these policies
  • Ad hoc business requests.

Required skills and knowledge

  • Strong time management and organisational skills
  • Ability to prioritise, problem solve, pay attention to detail, and attend to multiple assignments
  • Strong interpersonal skills with the ability to build good relationships with colleagues, members, and volunteers
  • Computer literate with demonstrable ICT understanding
  • Experience of CRM systems
  • Knowledge of office policies and procedures
  • Strong written and oral communication skills
  • Experience working with people from a range of backgrounds
  • Fluency in English.

Desirable skills and knowledge

  • Knowledge of WordPress, Wix or similar
  • Basic understanding of Send in Blue or similar newsletter software
  • Basic understanding of social media for business.

Details of contract

  • This role will be offered on a selfemployed, fixed term contract.
  • The role is advertised as part time (20 hours per week), at £10.50 per hour.
  • You may occasionally be required to work in the evening.
