Monday to Friday 7.30am-4pm
Job Status:
Temporary maternity cover months starting January 2023)
The Role
To carry out aspects of administration associated with all Toyota centralised shipping and trucking, including:
- Long term, short term and planning
- Coordinate trucking and scheduling of general export, remote port and Portbury & Grimsby shipments
- Liaise with manager, group leader and other logistics partners as appropriate to ensure on time delivery and accurate documentation.
- Carry out aspects of administration associated with Toyota vehicle planning, daily planning and member capacity and allocation.
- Liaise with management as appropriate to ensure an effective and efficient yard, workshop and trucking operation is maintained and that the agreed customer service requirements, contractual KPIs and quality standards are achieved.
- Carry out aspects of administration to support manager and group leader with the management of the yard, workshop and acceptance operation ensuring accurate record keeping and quality documentation.
Responsibilities
- Shipping coordination including documentation, assignment, post ship, truck planning, vessel planning and customs formalities for all shipping lines;
- Short term and longterm planning for all shipping lines;
- Point of contact for customs queries and documentation relating to all shipments;
- Trucking coordination including documentation, truck planning, Port and Factory returns, yard stock, and performance
- Responsibility for driver facilities
- Waste monitoring: check segregation and arrange collection (strap bins etc.)
- Call off wrap process
- Vehicle planning coordination including documentation, member packs, check sheets and planning boards
- General operational admin including data entry and format creation.
- Despatch desk cover
- Auctioning any issues, queries or complaints arising so that any problems are resolved, in a timely fashion and to all parties' satisfaction as far as is reasonably practicable
- Escalating any complex issues to the relevant coordinator/manager
- Taking on other responsibilities outside of normal role as required
- Undertaking all aspects of administration, including document data entry, filing and running reports for other teams
- Maintain a safe and healthy working environment complying with all aspects of the appropriate legislation, adhering to the Company Health and Safety policy, Environmental policy and the site safety rules
