Property Administrator

Salary between £30,000 - £33,000 with exceptional benefits

London - onsite 5 days a week (non negotiable)

IMMEDIATE START
We have a fantastic opportunity to join a leading, global, highly successful Property Management organisations, based in London. You will be working in one of the most desirable properties in the portfolio.

The purpose of the role is to support the Property Management Team in the day to day administration as well as the coordination of the day to day building operations at building.

Throughout the role the Property Administrator will be coached by the Assistant Property Manager and will report directly to the Property Managers.

You will be an integral part of the Property Management administration team, providing first class administration support and delivery of a high-quality service for the benefit of clients and tenants.


We are seeking a highly motivated individual who can work in a high pressurised, fast paced, dynamic environment, who isn't shy of hard work and wants to be a part of a hugely successful team.

You main responsibilities will be;

  • Answer calls in a prompt and professional manner and make accurate attendance notes.
  • Act as first point of contact for any general enquiries from contractors/suppliers and tenants with a view in resolving any issues and requests.
  • Liaise with service partners and occupiers for day to day operational issues and provide a defined serviceas required.
  • Take control of I.T. and telephone issues, faults and repairs to all equipment used by the property and engineering management team reporting faults etc
  • Coordinate contacts and relationships with all internal and external parties.
  • Coordinate the inductions of all new internal staff, external contractors and visitors with the relevant departments as directed.
  • Typing up of general correspondence, meeting minutes and reports, reviewing documentation and maintaining the electronic filing system.
  • Updating of procedures and the tenants guide etc. as directed by the Property Manager or Assistant Property Manager.
  • Logging and monitoring tasks to priorities and maintaining records of worksheets and certificates on Dashboard Systems.
  • Raise purchase orders to contractors and suppliers, and maintain and update the finance tracker system.
  • Maintain a record of all property management staff and other property management team holidays and sickness records.
  • Monitor the Property Management Teams' diaries and make appointments as necessary.
  • Order and maintain office supplies and consumables, restocking as necessary.
  • Set up meetings with relevant parties and prepare and distribute refreshments accordingly for client/tenants meetings.
  • Take minutes of meetings as directed by the Property Manager or Assistant Property Manager
  • Previous property experience in an property administrative or similar role
  • Exceptional Word, Excel, Powerpoint skills. You will need to be confident in pulling Excel spreadsheets, pivot tables and collating data
  • Experience taking minutes is a MUST
  • Good organisational and coordination skills
  • Good verbal and written communication skills with a positive attitude and attention to detail
