Ascot hosts around 600,000 racegoersa year across 26 race days, 300,000 of whom come to the five days of RoyalAscot.

Royal Ascot capacity can reach an attendance of 75,000 on a day. Ascotsconference and events business welcomes a further 200,000 customers a yearoutside racing.


Ascot aims to offer its racegoerssomething for everyone who wishes to be involved, and Royal Ascots offeringsreflect this through the entry level Windsor picnic enclosure, the mid-tierVillage enclosure, the central Queen Anne Enclosure and ultimately the RoyalEnclosure.

And incorporating up to 7000 racegoers in a wide range of privatebox and restaurant fine dining facilities.

ROLE
The Event Design & ExperienceCoordinator will report to the Senior Design, Activations & ProjectsManager within the Event Operations Department.

They will assist in thecoordination of the design and delivery of the venue for all racedays, with aprimary focus on Royal Ascot, working closely with the Event LogisticsCoordinator and Entertainment and Events Coordinator.


For Royal Ascot, the Venue Designbranch of the Event Operations department delivers a wide variety of finedining and retail restaurants within temporary and permanent structures, assistswith the design and build of a whole host of activations, as well as plans and coordinatesthe install of a vast amount of site dressing across the four differentenclosures.


The Event Design & ExperienceCoordinator will assist with the administration required for the above by workingthrough the design stages and booking processes, implementing the planning,installation, and de-rig timelines, overseeing contractor work on site, andvarious other responsibilities.

They will also be allocated set areas withinthe site to oversee the full delivery in readiness for the Friday prior toRoyal Ascot week ensuring everything is completed to the standards expected atAscot Racecourse.


_ This is a full time fixed term contract role for 6 months._

PRINCIPAL RESPONSIBILITIES

  • Being involved in the collaborative process with therest of the business to determine the designs for the venue
  • Liaising with a variety of contractors and designers
  • Issuing purchase orders, budget tracking, ensuringinvoices are delivered to the accounts department
  • Collating all required Health and Safety paperworkfrom each contractor
  • Contributing to production schedules for build andbreak
  • Overseeing contractor work on site to ensure thedesigns are delivered to the standard expected at Ascot Racecourse
  • Monitoring the elements they are responsible forthroughout the duration of Royal Ascot/Ascot Racedays and ensuring customerexperience is the best it can be

OTHER RESPONSIBILITIES

RacedayDelivery

  • Assisting the rest of the Event Operations team todeliver outstanding Ascot Racedays
  • Assist in ensuring set up of the site andinfrastructure is to set plan, working closely with the Event LogisticsCo-Ordinator

Other GeneralResponsibilities

  • Bring innovative solutions to the department and makeproactive suggestions for improvement of customer experience.
  • Such other duties as the Company may, at times,reasonably require.
SKILLS, EXPERIENCE AND QUALIFICATIONS

  • IOSH or NEBOSH Health & Safety Qualifications desirable but not essential
  • Previous experience of working on largescale events
  • Experience of working on a large or multisite venues
  • Budget Management
  • Experience of contractor management & site buildand break
  • Excellent oral and written communication skills
  • Excellent administrative skills
