We are looking for a Senior Team Leader to join our team.

They will need to be a motivated individual to join our Outpatients Management team to provide a first class service for our patients and staff, working alongside our team leaders, appointment centre, reception areas and senior management team.


You should have a proven record in customer service, experience of working with the public and ideally line management experience.

Operational hours are Monday - Thursday and Friday This may include weekend work.

This is a full time post.

The post holder will be required to provide a comprehensive administration and service coordination to ensure the smooth and efficient running of the Outpatient service on a daily basis, enabling the Team Leaders to ensure key performance, operational targets, and quality are met in line with service requirements.

You will also be required to have a financial understanding of the service requirements and establishment.

  • To utilise a number of Trust reporting sources and provide regular performance information /reporting for the department and areas Outpatients supports.
  • To have an understanding, monitor and deliver action plans for improvements of outpatient pathways in line with all national and local patient access targets.
  • The post holder will be responsible for ensuring that patient pathways are administered in a timely manner, within access timeframes, ensuring that patients are booked in to relevant clinics and sessions as appropriate with clinical guidance.
  • Provide support to key meetings within the service, such as Governance, operational huddles & PTL
  • The post holder will be expected to contribute to the collection and analysis of data, assess the service needs, develop improvement programmes and implement subsequent action plans where necessary.
  • To review and implement changes to the admin processes to support improvement in meeting KPI's.
  • To oversee and support validation and monitoring of all patients on RTT/Non RTT pathways, including support and training to the admin team

This will include:
correct caching up of appointments, optimisation of processes for follow up management.

  • The post holder will work closely with the relevant consultants, clinical team and other health professionals and management to ensure that patients are given appropriate appointments and receive a high quality service at booking.
  • Support the improvement of the patients understanding of appointment times, waiting times and pathway by ensuring patient communications are up to date and clear.
  • Support project work and administrative coordination of community clinics and pathways that cross and support both primary and secondary care.
  • Ensure administrative processes are streamlined, efficient and utilise systems appropriately and that all team members have access to SOPs and training to support in delivering.
  • To ensure that staff understand the Trust objectives and how this fits in with their role and objectives.
  • To develop and support staff so that they are able to lead on specific issues and have the opportunity to continue developing within their role.
  • Ensure all staff, permanent and temporary, are appropriately inducted and have the resources and knowledge to perform their role.
  • Identify training and development needs for staff and where appropriate deliver training to new and existing staff in relation to systems and processes.
  • Develop team morale and motivation through effective personal leadership, ensuring views and decisions are communicated both up and down the management structure.
