Working Pattern:
Full Time, 37 Hours (Monday - Friday)
Job Purpose:
Responsible for developing and Managing reporting systems, processes and data to support the delivery of UKSPF (and successor) Business Support projects.
Attention to detail is critical as this role will lead on managing and processing large volumes of data; ensuring contract compliance.
Accuracy of information is crucial to successful delivery.Job Objectives:
Establish and maintain appropriate processes to support the programme which meets the needs of the funder, Business Coaches and clients.
Design and set up monitoring systems, which are scalable, and fit for purpose, to collate outputs and performance information to track advisor's performance against targets as well as wider statistical information.
Work with the Project Managers to develop systems and reporting tools which can be adapted depending on project aims and contract requirements.
Provide administrative support to the programme, ensuring the accuracy and integrity of both paper and electronic records, in accordance with audit requirements.
Thoroughly checking dates, signatures and quality of forms, ensuring all information is completed to a high standard in accordance with the Chamber's Business support guidelines.
Coaches to ensure information is accurate and submitted in a timely manner.
Provide up to date information to Project Managers, flagging up areas of risk, underperformance or emerging trends which may impact on delivery.
Business Support projects.
Support in the collation of outputs and outcomes and assist with evaluating the success of the Business Support programmes.
Support the Project Managers in planning delivery, including workshops and events to support the delivery of Business Support Projects.
Provide a professional customer contact point for clients and partners, assessing needs and referring to services as and when appropriate.
Team, including updating websites with events and workshops.
Maintain accurate and timely records via the Chamber's CRM system
Undertake training, continuous professional development and accreditation processes as required for the post.
Undertake all work with due regards to the Chamber's Quality Standards and Health &
Safety and Equal Opportunity Policies.
Person Specification:
Ability to work on own initiative and take responsibility.
Experience of using Microsoft 365.
Strong working knowledge of the MS Office suite including mail merge, document formatting, filters, pivot tables, conditional formatting and formulas.
Prior experience of databases/data entry.
Confident in working with a range of external partners.
Experience of problem solving and using own initiative.
High attention to detail, ensuring all data is compliant.
Able to interrogate performance data and produce management reports.
Good numeracy and IT skills.
Excellent customer service skills.
Confident telephone manner when dealing with clients.
Excellent communication skills and the ability to adapt style according to audience.
Ability to work under pressure, meet deadlines and deal with conflicting priorities.
Organized and planned approach to work and the ability to prioritise.
Any additional duties as required by the business.
Own transport and full driving license.
Desirable attributes:
Previous experience of working on Publicly funded projects/contracts within other organisations.
Previous experience of utilising Docusign, including setting up forms, or an equivalent signature system, in order to record and verify activity.
