To further enhance business performance, we are looking for an Assistant Facilities Coordinator to join our team.
Working alongside and liaising with our UK Head of FM, you'll ensure that the office facilities, services, and environment is operating following the COWI Global FM standards and procedures.
Your key responsibilities will be:
- Supporting and liaising with the office Facilities Coordinator to ensure that the office facilities, services, and environment is operating following required standards.
- Operating all FM service functions including desk management, new starter set ups, reception, meeting rooms, switchboard, waste management, FM health and safety, catering services (internally/externally) and post/courier services.
- Supporting the FC with the daily operations of the building/office and liaising with approved COWI sub contractors
For example:
cleaning operations, PAT testing, fire alarm checks, legionella testing, security, stock replenishment, plants etc.
- Ensure that the office operates and complies with the IMS (including collating documentation), focusing on FM health and safety and waste management.
- Submitting office specific FM invoices and expenses where required.
- Helping to set up new workstations, onboard and welcome all new COWI starters and provide an office tour (liaising with HR and IT for support).
- Helping to assist and organise office (only) social events.
- Booking travel and car hire both within the UK and globally; seeking support from the UK Travel Manager where required.
- Participating in Group FM improvement and development projects
For example:
local office refurbishment and relocation projects.
- Travelling (On occasions) to other UK offices when required for team events.

- Previous experience working within a Facilities/Office Management role.
- Good understanding of office operations, FM standards, health & safety, and IMS systems.
- Experience and confidence in using Word, Excel, Outlook, Teams etc. and an understanding of basic office IT services/operations.
- Fire Marshal & First Aider training.
- The ability to manage time, prioritise tasks and adapt to change.
- Strong communication and teamwork skills.
- Commitment in creating the highest level of customer service.
