Temporary Volunteering Admin Assistant

Based in Esher

Full time office based role (Part time also considered)

Pay:
£12 - £13 per hour


Duration: 4 weeks initially, potentially longer
To coordinate the administration of volunteer recruitment and record keeping.

To be the point of contact for prospective and existing volunteers as well as to advise staff members who manage and coordinate volunteers.

To ensure volunteer paperwork is up to date and well organised.


Key Responsibilities

  • Liaise with potential volunteers and discuss volunteer opportunities
  • Liaise with staff who manage volunteers about volunteer recruitment, training and induction
  • Ensure that relevant risk assessments and ID checks are carried out
  • Understand and advise on volunteering good practice
  • Produce welcome letters and volunteer badges
  • Liaise with team members to promote and advertise volunteering opportunities
  • Process DBS checks and references
  • To assist the team with volunteer recruitment events
  • To acknowledge volunteer resignations, follow up where necessary and act on information shared
  • Maintain and update the Volunteer Database
  • Provide day to day management and supervision of administration volunteers
  • Monitor training renewal and compliance support volunteers to complete their online learning
  • Ensure DBS checks are renewed every three years
  • Produce regular reports in relation to volunteering demographics and training compliance
  • Support with Volunteer Surveys, Meetings and the Volunteer Newsletter

Person Specification

  • Good standard of general education
  • Trained in use of Microsoft Office Packages to intermediate level
  • Recent experience of working with volunteers or having been a volunteer would be desirable
  • Experience of working in a similar healthcare environment, or in the notforprofit sector would be useful but is not essential
  • Effective and professional communication and interpersonal skills
  • Strong administrative skills
  • Ability to deal with a diverse range of people
  • Ability to focus on priorities, targets and deadlines
  • Organised with good attention to detail
  • Evidence of providing information that is accurate, to a high standard and on time
  • Able to create good quality written material
