Job Overview:

Main Duties
- to create the best "first impression" and ensure that the reception desks, reception workstations, and reception areas are always clean and tidy.

  • To answer all calls in a friendly, efficient manner following standard company processes. Provide efficient assistance to callers who are not certain to whom they need to speak.
  • To meet, greet, and assist visitors and clients in a professional, friendly, and courteous manner while maintaining a 5star level of service and offering refreshments.
  • To instantly recognise and acknowledge the client and other key senior management team members.
  • Build professional rapport with staff and visitors by positively engaging with them.
  • Provide a security presence and ownership of the reception area, ensuring unauthorised access is prevented.
  • To coordinate the meeting room bookings and ensure that all meeting rooms are kept tidy when not in use
- ensures that meeting rooms are prepared for meetings and that any technical requirements are in place.

  • To organise sandwiches and refreshments for the meeting rooms on multiple floors, ensuring delivery to the rooms in a timely manner and that all is properly cleared away afterwards.
- to ensure that mail is sorted and delivered and couriers are arranged promptly.

  • Ensure that deliveries are directed to the end recipient.
  • To manage the distribution of temporary building passes
  • To be flexible to meet business demands.
  • Report any apparent deficiencies in systems of work or equipment provided to the FOH Manager that may present an unnecessary danger or risk to the health and safety of staff, tenants, or visitors.
  • Always work safely, giving due consideration for the safety of others.
  • Liaise with the client daily, as and when required, for any general or facility issues.
  • Assisting with training new staff and the support team
  • Ad hoc tasks as may be required from time to time, to include but not be limited to: diary management for senior managers, processing expense claims, supporting lines of business with general administrative tasks when time and skills permit.
