Job Summary:

The Maintenance Administrator will provide administrative support to the maintenance

department across our 9 care homes, assisting with various tasks to ensure efficient

operation and upkeep of facilities. This role involves coordinating maintenance requests,

scheduling appointments, maintaining records, and assisting with inventory management.


Responsibilities:


  • Receive and log maintenance requests from staff and residents, ensuring accuracy
and completeness of information.


  • Coordinate scheduling of maintenance tasks and appointments with internal staff and
external contractors.


  • Maintain electronic and paper records of maintenance activities, including work
orders, invoices, and equipment maintenance logs.


  • Assist in the preparation of maintenance budgets, tracking expenses, and monitoring
spending against allocated funds.


  • Communicate with suppliers and vendors to obtain quotes, place orders, and track
deliveries of maintenance supplies and equipment.


  • Generate reports on maintenance activities, including work completed, outstanding
tasks, and budget variance analysis.


  • Respond to inquiries and requests for information from staff, residents, and external
parties regarding maintenance issues.


  • Assist with the development and implementation of maintenance procedures and
protocols to improve efficiency and compliance.


  • Provide administrative support to the maintenance team, including photocopying,
filing, data entry, and other clerical tasks as needed.


  • Collaborate with other departments to coordinate maintenance-related activities and
support overall facility management objectives.


Qualifications:

  • High school diploma or equivalent; additional education or training in administration
or related fields is a plus.

  • Proven experience in administrative support roles, preferably in a maintenance or
facilities management setting.

  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Effective communication and interpersonal skills to interact with staff, residents, and
external vendors.

  • Knowledge of maintenance processes and terminology is desirable but not essential.

Pay:
£24,500.00 per year
