The role supports a busy Procure to Pay team by working closely with suppliers and internal stakeholders, including Commercial Managers.

The UK Health Security Agency (UKHSA) operates a hybrid working model where business needs allow. This provides us with greater flexibility about how and where we work, to get the best from our workforce.
As a hybrid worker, you will be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata, (averaged over a month) working at one of UKHSA's locations (Chilton, London, Leeds or Porton Down).
Specialist or regional roles will be based at the appropriate UKHSA site.For certain roles, some additional flexibility may be possible, which will be agreed upon with the hiring manager based on individual requirements and business needs.

Responsibilities section:
As a Support Assistant
your main responsibilities will include:
- Process requisitions raised within the self-service procurement system (Oracle Fusion) for goods and services. Ensure they are properly authorised and placed with the appropriate supplier, checking where active agreements exist, seeking guidance from the Contract Management Team as required
- Advise end users on the contracting/ordering process providing appropriate contact point information or escalate as necessary
- Respond to supplier queries and end user knowledgebased information requests
- Ensure that all purchases comply with current legislative obligations, UKHSA Purchasing Policy and Standing Financial Instructions and are in accordance with Cabinet Office/Department of Health requirements.
- Collect and collate business data as required to provide information for management reports
- Ensure good working relationships are created with colleagues, customers and suppliers at all levels
- Undertake all administrative tasks and provide cover, commensurate with the job description, for colleagues who are absent.

Person specification:
Essential Criteria:
Essential
- Previous experience of working within a Customer Services environment
- Good interpersonal and communication skills (verbal and written)
- Numerate and proficient at maintaining accurate records using in house databases and spread sheets
- Good time management skills and ability to manage competing priorities
- Ability to remain calm under pressure
- Proven ability to work with a team or independently as required
Desirable
- Experience in data entry using a Finance System (e.g. Oracle or similar) with prior experience within a Procurement role
- Ability to understand financial issues and maintain recognised procedures and practices
- Understanding of principles of governance and compliance
- Experience of using call logging systems
