Based at Peterborough, but prepared to work across both sites as and when required, the post is to provide a professional and supportive rota service and effective, confidential and comprehensive administrative and secretarial support to the Pathology department, ensuring that all activities are appropriately prioritised and actioned in a timely manner.


The job involves a high degree of organisation, diplomacy, tact and sensitivity as access to documents of a highly confidential nature will be required.

Continual liaison with both internal and external organisations is required as the post-holder will act as the first point of contact for all forms of communication.

The post-holder will be the first point of contact for all rota queries, create and/or produce performance reports and provide administrative support to the quality management system (QMS).

When required this post will also provide efficient and comprehensive senior medical secretarial and administration support across the service unit including support to Pathology Consultants.


  • Be responsible for the administration and communication of rotas for the pathology departments. Liaising with Departmental and Operational leads for each discipline to populate rotas to maintain full service cover for all shift patterns.
  • Acting as a single point of contact regarding all aspects of Health Roster and rotas.
  • Implement all departmental rotas using Health Roster, liaising closely with Departmental and Operational Leads within Pathology.
  • Ensure rotas are implemented equally amongst staff, in line the Working Time Directive, Trust policies and any live agile working agreements for staff.
  • Have an understanding of individual departmental working patterns, critical shift patterns and safe staffing levels.
  • Be point of contact for staff queries on rotas.
  • Ensure all absences, training, working from home etc. is up to date and correctly recorded.
  • Ensure all rotas are fully compliant, and approved, in line with Trust policies.
  • Ensure all rotas are completed, accurate and ready for locking down before the monthly target time.
  • Extract and collate performance, conformance and other monthly data and deliver in a format to meet the needs of the department and wider Trust.
  • Monitor and undertake Q-Pulse duties within expected timeframes
  • To perform all allocated administrative and clerical tasks associated with the quality management system.
