A typical day in the life of a Commercial Assistant:
- Assisting management with commercial reporting
- Providing internal procurement support to Quantity Surveyors (QSs), working closely with Finance Team to resolve queries
- Supporting Commercial Team by tracking Applications For Payment (AFPs)
- Logging and reporting Applied and Certified figures
- Reporting to Directors on final account and/or outstanding account details
- Ensuring Subcontractor AFPs are tracked, and issues reported to management
- Administering the subcontract process ensuring documents are signed, returned and filed
- Highlighting and reporting on contractual dates to meet contractual obligations and department KPI's
- Providing project support with the implementation of new phases, and ongoing maintenance of COINS software
- Uploading data into COINS and other software systems as part of the commercial process
- Compiling and analysing internal software reports
- Helping to plan and implementing new processes to align with software improvements
- Compiling data to ensure intercompany charges are correct and accurate
- Producing invoice reconciliations on problem accounts to enable timely payments
- Providing support and assistance to Commercial Process Manager and/or Directors on project and ad hoc tasks
What we are looking for?
- Computer literate
- Good Excel, Word and Outlook are essential
- Comfortable performing financial calculations
- A meticulous nature. Accurate and diligent in all data entry and reporting
- Experience in working in a fastpaced environment in an open floor office
- Ability to multitask and prioritise own workload
- Aptitude to seamlessly integrate into high performing teams
- Experience in project teams would be advantageous
- Experience of working within the Construction/ Civils industry would be ideal.
