Demonstrable experience in a similar position (Team Admin, Personal Assistant, Senior Administrator, or equivalent roles)

  • Excellent communication skills, both written and verbal
  • The ability to multitask and juggle priorities is essential, since this is a busy and varied role
  • To be IT literate
- time role (37.5 hours a week between Monday
  • Friday) to cover the Directorates core working hours. You will be based with the team at the John Radcliffe Hospital. Once fully trained and with Line Manager's approval, you will be able to split your working week between the office and working from home.
  • To provide high quality, professional, and comprehensive PA support to the OUH Chief Pharmacist and members of the Pharmacy and Sterile Services Directorate Management Team.
  • To act as a member of the Pharmacy Admin Team providing general administration support, to enable pharmacy specialists to provide their service to patients.
  • Maintain and update Directorate policy files as and when necessary, and support the implementation of the Directorate's strategy.
  • To assist with data collection, data entry and some data analysis needed for various projects taking place within the directorate.
  • Book travel & accommodation for colleagues where appropriate.
  • Take on projects where required.


The Trust comprises of four hospitals - the John Radcliffe Hospital, Churchill Hospital and Nuffield Orthopaedic Centre in Headington and the Horton General Hospital in Banbury.

The main role of the Directorate PA is to provide effective and efficient administrative and performance support functions to the OUH Chief Pharmacist and other key members of the Directorate Management Team.


The Pharmacy and Sterile Services directorate is an environment of continuously developing demands, which means that this role will require use of excellent interpersonal and communication skills and will involve working closely with colleagues across the organisation and in external organisations.


Main responsibilities include:


  • High quality, professional, and comprehensive PA support to the OUH Chief Pharmacist and members of the Pharmacy and Sterile Services Directorate Management Team.
  • Acting as a member of the Pharmacy Admin Team providing general administration support, to enable pharmacy specialists to provide their service to patients.
  • Handling correspondence and enquiries addressed to the OUH Chief Pharmacist and the Directorate Management team members, prioritising them for action and responding where appropriate.
  • Organising daily work for the OUH Chief Pharmacist and when possible, for other members of the Directorate Management team.
  • Organising the administrative aspects of meetings, courses, presentations and other ad hoc events as requested by the Directorate Management Team, ensuring equipment, and papers are available and up to date. Making bookings for rooms and refreshments, corresponding with organisers and event attendees and assisting with the production of handout materials, evaluations, and appraisals.
  • Taking minutes, recording actions, distributing documents.
  • Assisting with data collection, data entry and some data analysis needed for various projects taking place within the directorate
  • Manage content on internal web pages (e.g. SharePoint) and within internal databases.
  • General office duties: copying, printing, scanning and filing.
