Tarleton Group Practice has an exciting opportunity for an experienced and enthusiastic Medical Secretary to join the practice which is located in Tarleton Village.

You will be required be professional at all times whilst adhering to the practice protocol and procedures.

This is a permanent position for 30 hours to be worked over a minimum of 4 days.

The job will be secretarial and on occasion you will be asked to cover reception duties as required to help with absences.

The post holder will be flexible in order to meet the needs of the practice.

Main duties of the job


Acting as the first point of contact for our patients, either face to face or by telephone, booking appointments or redirecting patients to the most appropriate healthcare provider.

You will be experienced in a fast paced and busy environment, and have excellent call handling skills.


You will offer general assistance to the practice team and project a positive and friendly image to patients and other visitors.


Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team when needed.

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.


Ensure all referrals that have been requested by the clinicians are actioned in a timely manner and keep up to date with referral processes.

Overview of the organisation

We are a forward thinking large practice with a patient list size in excess of 9,500. Tarleton Group Practice has 6 partners. 2 nurses and 2 HCAs to complement an experienced admin team. We are based in a large newly refurbished health Centre and have onsite parking and local facilities and shops. We aim to offer a strong team-based supportive and caring working environment.

There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signpost patients to the correct service

e. Process incoming and outgoing mail

f. Initiating contact with and responding to, requests from patients, team members and external agencies

g. Process referrals to external agencies such as secondary care using the electronic referral system (ERS)

h. Process calling letters are requested

i. Read code data on EMIS

j. Photocopy documentation as required

k. File and store records as required

l. Data entry of new and temporary registrations and relevant patient information as required

m. Input data into the patient's healthcare records as necessary

n. Scanning of patient related documentation and attaching scanned documents to patient's healthcare records

o. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

p. Manage all queries (including administrative queries) as necessary in an efficient manner

q. Carry out system searches as requested

r. Maintain a clean, tidy, effective working area at all times

s. Support all clinical staff with general administrative tasks as requested

Support staff in raising and awareness and instilling confidence to report any safeguarding concerns to practice safeguarding lead or area safeguarding team.

Adhering to the safeguarding policies at the Practice.

u. Attending Practice meetings and taking minutes

From £11.44 per hour
