About this role:


The Operations Administrator will report directly into the Service Manager and work closely with the operations, purchasing and stores teams and will be assisting in the shipping of various electrical assemblies.

The operations administrator will have the ability to read, understand and work to manufacturing specifications. This role will play an essential part in the day to day running of the Operations Team and would be perfect for someone with good attention to detail who can complete tasks to a high standard and work to tight deadlines


Role & Responsibilities:

  • Processing sales orders on to the internal system and acknowledge with the customer.
  • Processing repair orders (RA), RA issue, RA Order creation, RA BOM creation, engineer liaison, RA closure and dispatch
  • Ensure the delivery date requested on sales orders can be met and stock availability
  • Request quotes when purchasing goods, review and raise purchase order accordingly, Process invoices received from suppliers on the OMNIS (internal) database.
  • Review outstanding stock and nonstock purchase orders to ensure timely delivery;
  • Update the intranet which includes shipping information and building/ plant maintenance details.
  • Liaise with suppliers to retrieve CCE certificates and datasheets

Qualifications & Educational requirements:

  • Familiarity with previous shipping processes
  • Ability to read, understand and work to shipping documentation and specifications
  • Previous experience in data entry and attention to detail
  • Selfstarter. Willing to work as necessary to support the team.
  • Comfortable with working independently while remaining in close touch with the core work teams.
  • Solid writing and content development skills.
  • Thrives in a changing environment. Stays flexible to shift tasks as needed but conscientious about completing work assignments.
  • Strong organisational skills. Able to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills and the ability to present information clearly and concisely
  • Sound understanding of commercial and retail enterprises and their functioning
  • Excellent organisation, accounting and data analysis skills
  • Attention to detail and good reasoning skills to spot errors quickly and report them to relevant staff
  • Ability to prepare reports that reflect on findings and recommendations on strategic plans
  • Customeroriented mindset and excellent interpersonal skills
  • Strong negotiation and leadership skills and the ability to lead others
  • Proficiency with industrystandard computer packages such as Microsoft Excel, Word, Outlook and internal systems
