Description
Work as a member of the Unit Administrative team to facilitate and prioritise all aspects of Ward administration. Provide a receptionist service for the wards liaising with patients, visitors, and Medical staff appropriately.

Responsibility to ensure admissions, transfers, discharges, and ward attenders are recorded onto PAS in real time to ensure correct information available for clinical staff.

Enter patient details on PAS and Nephros to ensure accurate information is available on admissions, discharges and transfers and complete gaps in patient personal information in a timely manner.


Ensure that information in case notes for inpatients are kept tidy, accurate and updated throughout the patients stay and discharge.

Provide information and chase any relevant admissions information to ensure coding can be completed accurately and quickly. Chase uncoded episodes using the Data Quality Website. Ensure that case notes are available for dictation of discharge summaries.

Track and return case notes to file where necessary. Obtain case notes for all admissions including new case notes where appropriate within set standards.

To undertake administrative duties for ward staff including answering of ward reception telephone, the management of confidential waste, ensure that all office machinery is in working order, collect and distribute mail, fax and photocopy patient related information and ensuring the wards are stocked with the appropriate office stationary/papers.

Book transport for patients using the correct channels to ensure no discharge delays due to transport unavailability.

Participate in ward meetings/handovers if required. Report faults and defects to Estates Department (Engie) for repair. To complete and other tasks as set by Ward Sisters/ Administration Manager. Support to Ward Clerk team to ensure cross covering.

Undertake the replenishment of stationery to all wards.

Highlight to the admin leads if stationery stores are low as well as ordering required medical stationery from Medical photography.

Assist in the training of new members of new ward clerk administrators and act as a role model.

To organise daily office routines such as collecting and delivery of ward post, answering of telephone and responding to general queries from other departments.

To undertake general administrative tasks as required.
