Purpose of the Job


The Senior Payroll Officer will be responsible for managing the payroll process for Drive ensuring it is completed accurately and on time, providing a confidential and efficient service.

Ensuring that payroll is compliant with Drive policies and the relevant legislation at all times.


Duties

Payroll Processing

  • Overall responsibility for the processing of the monthly payroll accurately and on time
  • Oversee the process for accurate entries, such as overtime and sickness to be paid as per policy and update to account for retrospective adjustments and/or future dated projections where necessary
  • Ensure all internal and external data needed to operate an effective payroll system is analysed, checked and imported every month. This includes tax codes, attachment of earnings and Trade Union subscriptions and timesheet data
  • Manage the process of auto enrolment for pensions each month
  • Maintain correct and accurate PAYE, National Insurance and Statutory Payments records, including SSP, SMP and SPP
  • Ensure reporting information is produced accurately and on time
  • Ensure that all legislative payroll deadlines are achieved on a monthly and annual basis and that relevant submissions comply with the relevant legislation
  • Support the Head of Finance to implement a business continuity plan to ensure payroll meets the primary objective of paying all staff on time.
  • Take the lead on processing the annual pay award in the payroll system.
  • To carry out all tasks relating to Month End
  • Preparation and upload of the annual holiday entitlements update to the timesheet database
  • Provide timely and accurate management information reports and payroll analysis as required, including Headcount, Total Reward Strategy, Group Life renewal and Gender Pay Gap reporting

Audit of Payroll

  • Ensure all payroll instructions are authorised at the appropriate level
  • Ensure reconciliation of all actions and changes made to the payroll data
  • Produce, analyse and report on all aspects of the Payroll function
  • Ensure audit trail for all data entry into the payroll system and ensure all changes are authorised at the appropriate level
  • Ensure payroll data is stored in accordance with Data Protection (GDPR) regulations
  • Monthly check of salary sacrifices arrangements to ensure compliance with National Minimum Wage
  • Support the Head of Finance at the end of each month to reconcile payroll control accounts
  • Implement legislation and policy changes to ensure compliance on pay, PAYE, National Insurance, Statutory Payments, Pensions and other voluntary deductions

Maintain relationships with internal departments and external stakeholders

  • Investigate and resolve payroll enquiries and issues raised by colleagues and / or internal and external stakeholders, responding formally where necessary
  • Liaise with internal departments and external stakeholders on all payroll related matters to ensure an accurate payroll is carried out
  • Work effectively with internal and external auditors and other advisors providing information and analysis as required.

Continuous development and automation of the payroll system and associated systems and processes

  • Perform regular reviews of payroll processes and procedures to ensure they accurately reflect company policy and are compliant with the relevant legislation
  • Question the integrity of processes to ensure efficiencies and accuracy in data received within payroll for use for payroll and other teams within Drive
  • Assist in developing links from / to the HR database
  • To participate in relevant projects as initiated by the Head of Finance including development and integration of new payroll systems and processes

General

  • Line Management of the Payroll Officer.
  • Coach, mentor and develop the knowledge and skills of individuals involved in the payroll function.
  • Participate as a member of the team, working groups including external networks and meetings as necessary and put forward suggestions for improving the overall service to stakeholders
  • Disseminate information to relevant staff
  • Ensure all activities undertaken are carried out to the highest standards of integrity and professionalism in accordance with policies and procedures and compliance of the Equal Opportunities, Safeguarding, Confidentiality and Data Protection policies
  • Be aware of the post holder's responsibilities under the Health and Safety at Work Act and other safety regulations and ensure safe working practices and procedures are always adopted
  • Undertake mandatory Health and Safety training when required
  • Keep abreast of legislative developments affecting the post holder's area of work and undertake training and continual professional development to keep up to date with their job and its changing requirement
  • All other duties commensurate with the role

Part-time hours: per week


Salary:
£28,000.00 per year
